Deliver a professional HR service to managers and staff, which is both responsive and timely.
Develop and maintain positive and productive working relationships with the HR team and other colleagues in other subsidiaries.
Your Job Functions (duties & Responsibilities).
To provide first level advice and support to managers on all matters relating to staff.
Handle the onboarding & offboarding processes from A-Z for the employees (hotel, tickets, activate/deactivate their data to the systems SAP, IAM, etc.).
Liaise with IT Team to make sure that all required equipment is ready for any new joiner & handed over for any leaver.
To handle the full induction program and trainings for all the new joiners.
To maintain the Training management data updated.
Preparation of all reports required.
Managing the payroll, Final Settlement, EOSB & Leave accruals for UAE & Oman.
Manage the staff in UAE & Oman.
Manage all the PROs across the regions (UAE & Oman).
Manage the Communication & Announcements across the region.
Manage the HR Tool for UAE & Oman in all terms.
Managing the Training tool for the entire region.
To assist in responding to any Employee request related to letter issuance, concerns & clarifications.
To advise the staffs ensuring compliance with related policy and procedure.
To input and interpret information using a HR database.
To keep up to date employees informed with changes and developments in Human Resources policies, best practice.
Managing the health insurance for UAE & Oman and the workmen compensation & liability insurances.
To maintain and manage confidential personal records for all staff both manual and computerized in line with the provisions by coordination with the document controller.
To observe confidentiality in dealing with staff at all levels.
To complete any other duties and responsibilities when requested, which are commensurate with this role such as payroll management, health insurance preparation and process, letters preparations, leave management, Trainings management, internal announcement emails, required reports on BE & BU level, etc.
Manage the office in Dubai.
Evaluates, prioritises and launches all local initiatives in his/her domain in consultation with the wider group (India, Brussels ), monitors and controls their development process and actual implementation, in order to ensure that every initiative fits within the strategy and plans, is feasible, and adds value to the business.
Contribute to the compliance of all companies within the Middle East region with policies of the Engie Tractebel group (defines and monitors office policies and procedures).
Support the other Office Managers in region to ensure a common approach across the region.
Obtain, maintain and monitor the registration of TE Dubai and any branch offices.
Day to day management and operation of the office (cost management, resource allocation, visitors etc.)
Organising the team building and socialisation activities throughout the year.
Manage the documentation of the hard & soft copies for the original projects agreements.
Receiving calls and manage the reception.
Post office management.
Represent the organization in the government entities such as Etisalat, DEWA, etc. for office related issues.
Liaise with the H&S for office related issues.
Liaise with the building management for office related issues.
Prepare any required reports/Audit at BE&BU level.
Knowledge typically acquired through completion of a bachelor’s degree in personnel, public or business administration or related social science field.
5-10 years of experience in:
MS Word and Excel
Able to manage workflow in a fast-paced, lean environment with multiple and sometimes changing priorities
Experience dealing with ambiguity and moving quickly to solutions/recommendations
Ability to maintain strict confidentiality regarding employee issues
Outstanding interpersonal skills: must display patience, humor and helpfulness always front line contact for employee issues
Ability to handle multiple projects and deadlines
Detail oriented and excellent organizational skills: accuracy is essential
