Operations Admin Assistant Full Time

You as an Operations Admin Assistant, will be part of Power Grids business and reporting to Gulf Engineering Manager. You will be responsible for providing an auxiliary service to Grid Automation AE team. Engage internal customers and drive efficient services in various administrative areas. Provide administrative services and/or secretarial assistance to the Grid Automation AE team.

Your responsibilities

• Administrative support: – Performs complex administrative activities and takes responsibility for delivering specific department processes/programs such as Track and replace office supplies as necessary to avoid interruptions in standard front office procedures. Make purchases for the office like supplies and other necessary equipment. Manage the company car process from business side incl. monitoring of the current fleet, assigning new cars and correspond with the fleet vendor.
• Service Delivery: – Provides a service to the relevant business to meet current needs, efficiently and effectively
• Quality: -Performs tasks to high quality standards to ensure customer satisfaction
• Documentation: – Research, compiles verifies and analyzes information and issues special reports, presentations, organization charts, correspondence, etc.
• Communication: – Responsible for different communication tasks within the Hub MEA, ensuring knowledge and information is shared and keeping others up to date
• Processes: – Implements Hitachi processes and initiates continuous improvement of administrative processes and procedures to maximize efficiency and effectiveness.
• Events: -Arranges business critical internal/external events, including for example travel arrangements, itineraries, accommodation, conferences, visiting speakers etc.

Your background

• Education: -Degree in Business Administration
• Experience: -1-3 years in similar role
• Excellent time management and organizational skills
• Good ability to communicate in person, in writing and over the phone
• Familiarity with common procedures and basic account principles used in the office
• Knowledge of Microsoft Office and other office management tools and applications
• Language: – English
