A future-proof position within one of the worlds largest providers of shipping, logistics & marine services.
Due to changes in our team structure, we are looking for a full-time permanent Receptionist/Office Coordinator at our Head Quarters office in Dubai.
The successful candidate will provide front line customer service to our guests as well as administrative support within the HQ operation. They will report to the Office Manager & Group Human Resources Officer.
Key Areas Of Responsibility
Manage the switchboard: screen and determine the purpose of callers, and forward calls to appropriate personnel and departments.
Meet, greet, and assist guests, & visitors. Ensure that reception runs smoothly and effectively.
Deal with incoming/outgoing post and couriers quickly and efficiently.
Manage the meeting rooms and ensure they are set-up for scheduled meetings.
Ensure office supplies, and stationery are ordered and stocked at all times.
Assist Managers, Admin and HR tasks as needed.

HR Administration: Provide administrative support in the HR software application and provide occasional HR support to the HR Manager to ensure staff records are correctly administered, medical insurances are up-to-date, and arranging staff flights/hotel accommodation.

University Degree in Business Administration or equivalent
Relevant experience in Reception / customer service
Excellent English, both oral and written
Comfortable Office 365 user
Customer-focused – Extremely helpful and service-oriented
Highly motivated and willing/able to take initiative
Structured & organised
Problem solving abilities
Great cooperative skills
