Key Responsibilities

Vendor Account Management

• Manage all vendor-related financial transactions accurately and efficiently.
• Verify vendor invoices against purchase orders, contracts, and supporting documentation.
• Ensure invoices are properly approved before payment processing.
• Maintain accurate vendor accounts and update financial records regularly.
• Monitor outstanding vendor balances and resolve discrepancies promptly.
• Build and maintain positive working relationships with vendors and service providers.

Payment Processing

• Process vendor payments accurately and within agreed payment terms.
• Prepare payment vouchers, bank transfers, and cheque requests.
• Ensure timely settlement of supplier invoices and contractual obligations.
• Monitor payment schedules and avoid late payment penalties.
• Reconcile vendor statements and investigate outstanding balances.
• Maintain proper documentation for all payment transactions.

Financial Reconciliation & Reporting

• Perform regular vendor account reconciliations.
• Prepare monthly vendor aging reports and payment summaries.
• Assist in preparing financial reports related to vendor expenses.
• Monitor expenditure against approved budgets.
• Analyze vendor costs and identify unusual transactions.
• Support month-end and year-end financial closing activities.

Contract & Compliance Management

• Monitor vendor contracts to ensure payments comply with agreed terms.
• Track contract renewals, payment milestones, and service agreements.
• Ensure compliance with company financial policies and procurement procedures.
• Support VAT documentation and statutory compliance where applicable.
• Assist internal and external auditors by providing vendor-related records and reports.
• Maintain confidentiality of financial and contractual information.

Requirements

• Bachelor’s Degree in Accounting, Finance, Commerce, or a related field.
• Previous experience in Accounts Payable, Vendor Accounting, or Finance is preferred.
• Strong understanding of accounting principles and vendor payment processes.
• Experience in invoice verification, reconciliations, and contract monitoring.
• Proficiency in Microsoft Excel and accounting or ERP software.
• Excellent analytical and problem-solving skills.
