Key Responsibilities

Inventory Management

• Monitor and control daily inventory activities.
• Maintain accurate records of all incoming and outgoing stock.
• Track inventory movements including receipts, issues, transfers, returns, and adjustments.
• Ensure inventory records are updated accurately and on time.
• Monitor stock availability and identify items requiring replenishment.
• Maintain appropriate stock levels according to operational requirements.
• Identify slow-moving, excess, damaged, or obsolete inventory.
• Report unusual stock movements or inventory concerns to management.

Stock Receiving & Issuing

• Coordinate with the store or warehouse team to verify incoming materials.
• Check received quantities against purchase orders, delivery notes, and system records.
• Ensure all received items are properly recorded.
• Verify stock before issuing materials to authorized departments.
• Maintain accurate records of stock issues and returns.
• Investigate discrepancies between documents and physical quantities.
• Ensure all inventory transactions are properly supported by documentation.

Physical Stock Counting

• Conduct regular physical inventory counts.
• Organize cycle counts, periodic stock checks, and full inventory counts.
• Compare physical quantities with ERP or inventory system balances.
• Identify shortages, excess stock, damaged items, and recording errors.
• Investigate the reasons for stock discrepancies.
• Prepare stock count reports and submit findings to management.
• Ensure corrective adjustments are properly approved and recorded.

Reconciliation & Accuracy

• Perform regular inventory reconciliations.
• Reconcile physical stock with ERP and accounting records.
• Review inventory transactions to identify errors or missing entries.
• Coordinate with Finance and Stores teams to resolve discrepancies.
• Ensure inventory balances remain accurate and up to date.
• Maintain proper records of approved stock adjustments.
• Support month-end and year-end inventory reconciliation activities.

ERP & System Management

• Maintain accurate inventory data in the company’s ERP or inventory management system.
• Enter receipts, issues, transfers, returns, and adjustments accurately.
• Generate inventory reports and stock statements when required.
• Verify system data against physical stock records.
• Support improvements in inventory tracking procedures.
• Maintain proper item codes, descriptions, units, and stock information.
• Report system-related inventory issues to the appropriate department.

Stock Level Monitoring

• Monitor minimum and maximum stock levels.
• Identify items approaching reorder levels.
• Coordinate with Procurement regarding replenishment requirements.
• Help prevent stock shortages that may affect business operations.
• Monitor excess and slow-moving inventory.
• Provide management with recommendations for stock optimization.
• Analyze inventory usage trends to support purchasing decisions.

Documentation & Reporting

• Maintain accurate inventory documentation and records.
• Prepare daily, weekly, and monthly inventory reports.
• Maintain stock movement reports and reconciliation statements.
• Prepare reports on shortages, damages, adjustments, and slow-moving items.
• Maintain supporting documents for inventory transactions.
• Assist with internal and external inventory audits.
• Ensure all records are properly organized and easily accessible.

Coordination With Departments

• Coordinate closely with Stores, Procurement, Finance, Sales, and Logistics teams.
• Provide accurate stock availability information to relevant departments.
• Coordinate with Procurement regarding purchase requirements.
• Work with Finance on inventory valuation and reconciliation matters.
• Support Sales teams by providing accurate stock information.
• Coordinate with Logistics regarding incoming and outgoing shipments.
• Resolve inventory-related issues through effective communication.

Requirements

• Previous experience in inventory control, stock management, warehouse operations, or a related field is preferred.
• Good knowledge of inventory management principles and procedures.
• Strong understanding of stock receiving, issuing, transfers, returns, and reconciliation.
• Experience using ERP or inventory management software.
• Good proficiency in Microsoft Excel.
• Strong numerical and analytical skills.
• Excellent attention to detail and accuracy.
• Good organizational and time-management skills.
• Strong communication and coordination abilities.
• Ability to identify and resolve inventory discrepancies.
• Ability to work independently and as part of a team.
