Key Responsibilities

Accounts Receivable Management

• Assist with daily Accounts Receivable (AR) activities.
• Maintain accurate customer account records and outstanding balances.
• Monitor invoices and track customer payment status.
• Record customer receipts and payments accurately.
• Review customer accounts to identify overdue amounts.
• Prepare regular outstanding receivables statements.
• Ensure customer transactions are properly recorded in the accounting system.
• Support the Finance Department with routine AR activities.

Invoicing & Documentation

• Prepare and process customer invoices based on approved documents.
• Verify invoice details, customer information, amounts, and supporting documents.
• Ensure invoices are issued accurately and within required timelines.
• Maintain organized records of invoices and payment documentation.
• Assist with credit notes, debit notes, receipts, and other billing documents when required.
• Coordinate with relevant departments regarding missing billing information.
• Ensure all financial documents are properly filed and easily accessible.

Payment Follow-Up

• Conduct regular customer payment follow-ups.
• Contact customers regarding outstanding invoices and payment commitments.
• Maintain professional communication during collection activities.
• Track promised payment dates and update customer records.
• Escalate overdue or disputed accounts to the appropriate supervisor.
• Maintain accurate records of collection activities and customer responses.
• Assist in improving timely collection of outstanding receivables.

Reconciliation

• Assist with customer account reconciliations.
• Compare customer statements with internal accounting records.
• Identify discrepancies, missing receipts, incorrect allocations, or outstanding transactions.
• Coordinate with customers and internal departments to resolve account differences.
• Ensure payments are allocated to the correct customer invoices.
• Maintain reconciliation schedules and supporting documentation.
• Report unresolved discrepancies to senior finance personnel.

Financial Data Entry

• Enter customer invoices, receipts, payments, and adjustments accurately.
• Maintain up-to-date accounting information in the relevant financial system.
• Review entries for accuracy before final processing.
• Assist with correcting data-entry discrepancies under appropriate authorization.
• Maintain accurate digital records.
• Ensure financial information is entered within established deadlines.

ERPNext Support

• Assist with Accounts Receivable activities using ERPNext, where applicable.
• Maintain customer and transaction information in the ERP system.
• Record invoices, receipts, payments, and other approved transactions.
• Generate customer statements and basic reports when required.
• Support reconciliation between ERP records and financial documents.
• Learn and follow established ERP procedures.
• Report system or transaction issues to the relevant finance team member.

Reporting & Finance Support

• Assist in preparing receivables aging reports and collection summaries.
• Support daily, weekly, and monthly financial reporting activities.
• Provide accurate customer account information to management.
• Assist with month-end closing and reconciliation procedures.
• Prepare supporting schedules and documents when required.
• Support internal and external audit requirements.
• Perform additional accounting duties assigned by the Finance Manager.

Internal Coordination

• Coordinate with Sales, Finance, Operations, and Administration teams regarding customer accounts.
• Follow up on missing invoices, delivery documents, approvals, and payment information.
• Assist with resolving customer billing and payment queries.
• Maintain clear communication with internal departments.
• Ensure customer account issues are addressed promptly.
• Support the finance team during busy reporting and collection periods.

Qualifications

• Degree or Diploma in Accounting, Finance, Commerce, or a related field.
• Fresh graduates are welcome to apply.
• Basic knowledge of accounting principles.
• Basic knowledge of Microsoft Excel.
• Knowledge of Accounts Receivable and bookkeeping is an advantage.
• ERPNext experience or knowledge will be an added advantage.
• Strong communication and customer follow-up skills.
• Good numerical and analytical abilities.
• Strong attention to detail and accuracy.
• Good organizational and time-management skills.
• Ability to manage multiple tasks and meet deadlines.
