KEY RESPONSIBILITIES

Accounts Receivable Management

• Manage daily Accounts Receivable (AR) activities and customer account records.
• Enter and update sales, invoices, receipts, credit notes, and payment transactions in the ERP system.
• Monitor customer outstanding balances and maintain accurate aging records.
• Follow up on overdue invoices and support timely collection of receivables.
• Reconcile customer accounts and investigate differences or outstanding discrepancies.
• Maintain proper records of customer payments and account adjustments.

Billing & Invoicing

• Prepare and process customer invoices accurately and within required timelines.
• Verify billing information, prices, quantities, customer details, and supporting documents before invoicing.
• Ensure invoices comply with company procedures and applicable VAT and tax invoicing requirements.
• Process credit notes, debit notes, receipts, and other billing documents when required.
• Coordinate with sales, operations, and other departments to resolve billing-related issues.

ERP & Data Entry

• Perform accurate AR data entry into ERP and accounting systems.
• Maintain updated customer master data and financial records.
• Verify transaction details and supporting documents before posting entries.
• Identify and correct data-entry errors promptly.
• Generate customer statements, aging reports, and receivables-related reports.
• Maintain organized electronic records for easy retrieval and review.

Reconciliation & Reporting

• Perform regular customer account reconciliations and payment matching.
• Assist with bank and receipt reconciliation related to customer collections.
• Prepare daily, weekly, and monthly AR reports as required.
• Support month-end closing activities by ensuring receivable transactions are complete and accurate.
• Provide accurate information to the Finance Manager and senior accounting team.

REQUIREMENTS & QUALIFICATIONS

• Minimum 2–3 years of relevant Accounts Receivable experience.
• Previous experience in AR data entry and ERP systems is required.
• Experience in the Fresh Fruits & Vegetables industry will be an advantage.
• Good knowledge of billing, tax invoicing, and local VAT regulations.
• Strong understanding of basic accounting and receivables processes.
• Good working knowledge of Microsoft Excel and accounting/ERP software.
• Strong attention to detail, accuracy, and numerical ability.
• Good communication, organization, and follow-up skills.
• Ability to manage deadlines and work effectively in a fast-paced environment.
