Key Responsibilities:
Provide comprehensive administrative support to ensure smooth daily operations within the car rental business.
Handle front-office and back-office administration, including documentation, filing, and data entry.
Prepare and maintain rental agreements, customer records, vehicle documentation, and contracts accurately.
Coordinate with operations and fleet teams to support vehicle availability, scheduling, and documentation.
Respond to customer inquiries via phone, email, or in person in a professional and courteous manner.
Assist in preparing quotations, invoices, and basic reports related to car rentals and services.
Maintain accurate records of bookings, vehicle movements, and customer details.
Support daily coordination with drivers, maintenance teams, and external service providers when required.
Ensure proper handling of insurance documents, traffic fines, salik records, and vehicle registrations.
Maintain organized physical and digital filing systems for easy retrieval and compliance.
Assist accounts and HR teams with administrative coordination and document support as assigned.
Monitor office supplies and coordinate procurement of stationery and administrative materials.
Handle incoming and outgoing correspondence, including emails, courier documents, and official letters.
Maintain confidentiality of customer and company information at all times.
Support management with other administrative tasks and reporting requirements.
Coordinate schedules, appointments, and internal communications efficiently.
Adapt to changing priorities and handle multiple tasks in a fast-paced environment.
Ensure compliance with company policies and UAE regulations related to car rental operations.
Maintain a professional attitude while dealing with customers, suppliers, and internal teams.
Perform additional administrative duties as assigned by management.
Qualifications & Experience:
Male or Female candidates can apply.
Experience in the Car Rental industry is preferable.
2–3 years of UAE experience in an Admin Assistant or similar administrative role.
Good communication and interpersonal skills.
Proficiency in MS Office applications (Word, Excel, Outlook).
Strong organizational and time management skills.
Ability to work independently and as part of a team.
Attention to detail and accuracy in documentation.
