Key Responsibilities

HR Administration

• Manage daily HR operations and administrative activities.
• Maintain accurate employee records, personnel files, and HR databases.
• Prepare HR letters, certificates, employment documents, and official correspondence.
• Ensure employee documentation is complete, accurate, and properly filed.
• Maintain confidentiality of employee and company information.
• Update employee records whenever there are changes in employment status or personal details.
• Support the implementation of HR policies and procedures.

UAE Payroll Management

• Handle and support UAE payroll processing accurately and within scheduled deadlines.
• Prepare monthly payroll information based on attendance, leave, overtime, deductions, and employee changes.
• Verify payroll data before submission for processing.
• Coordinate with Finance regarding salary processing and payroll-related requirements.
• Maintain accurate payroll records and supporting documentation.
• Investigate payroll discrepancies and coordinate with relevant departments to resolve them.
• Maintain confidentiality of salary and employee compensation information.
• Support payroll-related reporting and documentation requirements.

Employee Records & Documentation

• Maintain updated employee files and HR documentation.
• Track employment contracts, joining documents, leave records, and other HR information.
• Ensure employee documents are properly organized and easily accessible.
• Monitor important document expiry dates and coordinate renewals when required.
• Maintain accurate electronic and physical filing systems.
• Assist with internal HR audits and provide required documentation.
• Ensure employee records are handled according to company procedures.

Attendance & Leave Management

• Monitor employee attendance, leave, and overtime records.
• Review attendance data before payroll preparation.
• Maintain accurate leave balances and absence records.
• Coordinate with department supervisors regarding attendance discrepancies.
• Update employee attendance information in relevant HR systems.
• Prepare attendance summaries and payroll-supporting reports.
• Ensure leave and attendance policies are followed consistently.

Recruitment & Onboarding

• Support recruitment activities when required.
• Coordinate interviews and communicate with candidates.
• Assist with employee joining and onboarding procedures.
• Collect and verify required employee documentation.
• Prepare joining files and onboarding checklists.
• Coordinate with relevant departments to ensure new employees have the required access and resources.
• Support induction and orientation activities.

Employee Support

• Respond to routine employee HR queries professionally and promptly.
• Assist employees with questions regarding payroll, attendance, leave, and HR procedures.
• Maintain positive working relationships with employees and management.
• Handle employee information with professionalism and confidentiality.
• Escalate complex HR matters to senior management when necessary.
• Support employee engagement and internal HR initiatives.

HR Reporting & Excel

• Prepare regular HR and payroll reports using Microsoft Excel.
• Maintain employee databases, payroll trackers, attendance sheets, and HR reports.
• Use Excel functions and formulas to organize and analyze HR data.
• Ensure payroll and employee information is entered accurately.
• Prepare management reports and summaries when requested.
• Maintain accurate HR data and ensure reports are submitted on time.

Requirements

• Must be currently based in the UAE.
• Must be able to join within 15 days or less.
• UAE payroll experience is mandatory.
• Candidates without UAE payroll experience will not be considered.
• Fluent in Hindi, both speaking and understanding.
• Very good knowledge of Microsoft Excel.
• Bachelor’s degree or relevant qualification in Human Resources, Business Administration, or a related field is preferred.
• Practical experience in HR administration and employee management.
• Good knowledge of UAE HR and payroll procedures.
• Strong communication and interpersonal skills.
• Excellent organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Ability to maintain confidentiality.
• Ability to work independently and manage multiple priorities.
