Key Responsibilities

Logistics Coordination

• Assist with daily logistics and supply chain activities.
• Coordinate incoming and outgoing shipments according to schedules.
• Follow up with suppliers, freight forwarders, shipping agents, and transport providers.
• Monitor shipment status and provide timely updates to relevant departments.
• Coordinate transportation arrangements and delivery schedules.
• Identify shipment delays and communicate issues to management.
• Support smooth movement of goods from suppliers to final destinations.

Import & Export Documentation

• Prepare, verify, and maintain import and export documentation.
• Review commercial invoices, packing lists, certificates of origin, bills of lading, delivery documents, and other shipping records.
• Ensure documentation is accurate and complete before shipment processing.
• Coordinate with customs agents and logistics service providers regarding required documents.
• Maintain organized records of import and export transactions.
• Follow up on missing or incomplete documentation.
• Ensure documents are submitted within required timelines.

Incoterms & L/C Documentation

• Apply working knowledge of Incoterms when handling international shipments.
• Assist with documentation related to Letter of Credit (L/C) transactions.
• Review shipping documents for consistency with L/C requirements.
• Coordinate with banks, suppliers, and internal finance teams when required.
• Assist in identifying documentation discrepancies that may affect shipment or payment processing.
• Maintain proper records of L/C and trade-related documents.

ERP & Data Management

• Update shipment, inventory, purchase, and logistics information in ERP systems.
• Work with Microsoft Dynamics AX/D365 or similar ERP platforms.
• Enter logistics transactions accurately and maintain updated records.
• Generate reports and retrieve shipment information when required.
• Ensure system records match physical documentation.
• Report system discrepancies or technical issues to the appropriate team.

Shipping & Supply Chain Support

• Monitor shipping schedules, delivery dates, and shipment documentation.
• Coordinate with warehouses regarding incoming and outgoing goods.
• Assist with shipment tracking and delivery confirmation.
• Maintain records of freight costs, shipment details, and logistics activities.
• Support procurement and supply chain teams with logistics-related information.
• Coordinate with internal departments to resolve delivery and documentation issues.
• Assist in improving the efficiency of logistics processes.

JAFZA & Compliance Support

• Assist with logistics activities involving JAFZA procedures when applicable.
• Coordinate with customs, free-zone authorities, and approved service providers as required.
• Maintain appropriate documentation for free-zone shipments.
• Follow company procedures and applicable import/export requirements.
• Ensure logistics records are complete and properly filed.
• Support audits and compliance checks by providing required documentation.

Communication & Reporting

• Maintain professional communication with suppliers, customers, freight forwarders, shipping agents, and internal teams.
• Prepare regular shipment and logistics status reports.
• Escalate delays, documentation problems, and operational issues promptly.
• Maintain accurate correspondence and follow-up records.
• Support management with logistics-related reports and information.
• Coordinate effectively with finance, procurement, warehouse, and sales departments.

Requirements

• Minimum 4 years of experience in Logistics, Shipping, Import/Export Documentation, or Supply Chain.
• Strong knowledge of Import & Export Documentation.
• Good understanding of Incoterms and L/C Documentation.
• Experience with ERP systems; Microsoft Dynamics AX/D365 preferred.
• Good knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
• Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, or a related field.
• Excellent communication and organizational skills.
• Strong attention to detail and documentation accuracy.
• Ability to coordinate multiple shipments and deadlines.
• Good problem-solving and follow-up skills.
• Ability to work independently and as part of a team.
• Experience with JAFZA procedures is an added advantage.
• Professional and responsible approach to logistics operations.
