Job Overview:
Al Fattan Properties is seeking a professional and courteous Receptionist to manage front desk operations and provide exceptional customer service to clients and visitors. The ideal candidate will be the first point of contact for the company, ensuring a welcoming environment and efficient handling of inquiries.
Key Responsibilities:
Communication Management:
Answer all incoming calls, address inquiries, and direct calls to appropriate personnel.
Receive and relay telephone messages promptly.
Client Interaction:
Greet, assist, and direct clients and visitors, ensuring their needs are promptly addressed.
Provide information about available properties to potential buyers or renters, including details on location, amenities, price range, and financing options.
Mail and Correspondence:
Receive, sort, and distribute incoming mail and packages.
Manage general correspondence and maintain an organized filing system.
Administrative Support:
Maintain an adequate inventory of office supplies and process stationery requests to the procurement department.
Assist other staff within the HR & Admin team with ad-hoc projects, including data entry, filing, and printing, as required.
Appointment Scheduling:
Schedule appointments with agents based on client needs and coordinate showings.
Prepare homes for showings in accordance with the agent’s guidelines.
Compliance and Coordination:
Ensure all real estate transactions are legally compliant by tracking signatures and dates on documents.
Coordinate repairs or maintenance services for clients’ properties and communicate regularly with contractors about project progress.
Qualifications:
Previous experience in a receptionist or customer service role, preferably within the real estate industry.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational skills and attention to detail.
Ability to multitask and prioritize tasks effectively.
Professional demeanor and appearance.
