Key Responsibilities

Store & Inventory Management

• Manage daily store and warehouse operations efficiently.
• Receive materials, goods, equipment, and supplies delivered to the store.
• Check received items against purchase orders, delivery notes, and supporting documents.
• Verify quantities, specifications, and physical condition of materials.
• Arrange materials systematically for easy identification and retrieval.
• Maintain proper stock levels and monitor inventory movement.
• Ensure fast-moving and essential items are available when required.
• Identify damaged, expired, slow-moving, or obsolete stock and report it to management.

Receiving & Inspection

• Receive incoming materials and verify them against approved documentation.
• Check quantities and item descriptions before accepting deliveries.
• Prepare or maintain Goods Received Notes (GRN) where applicable.
• Report shortages, damages, or discrepancies immediately.
• Coordinate with procurement and suppliers to resolve delivery issues.
• Ensure received materials are properly labeled and stored.
• Maintain accurate records of all incoming stock.

Material Issuing

• Issue materials only against approved Material Requisition Forms (MRF) or authorized requests.
• Record all stock issues accurately in the inventory system or stock register.
• Verify item quantities before handing materials to authorized employees or departments.
• Maintain proper documentation for every stock movement.
• Ensure materials are issued according to company procedures.
• Monitor consumption patterns and report unusual usage.
• Coordinate with operations and site teams regarding material requirements.

Stock Records & Documentation

• Maintain accurate stock registers and inventory records.
• Update records for every receipt, issue, return, transfer, and adjustment.
• Maintain purchase orders, delivery notes, GRNs, issue vouchers, and related documents.
• Ensure physical stock records match system records.
• File store documentation properly for easy retrieval.
• Prepare stock reports and summaries when required.
• Maintain confidentiality and accuracy of inventory information.

Stock Reconciliation

• Conduct regular physical stock counts and inventory checks.
• Reconcile physical stock with ERP or inventory records.
• Investigate stock discrepancies and report findings to management.
• Assist with monthly and periodic inventory audits.
• Maintain accurate records of stock adjustments.
• Monitor stock movement to prevent losses, shortages, and unauthorized usage.
• Support management in maintaining effective inventory controls.

Warehouse Organization

• Keep the store clean, organized, and properly maintained.
• Arrange materials according to category, size, usage, and storage requirements.
• Ensure proper labeling and identification of stored items.
• Follow appropriate storage procedures for sensitive or valuable materials.
• Maintain clear and safe access to storage areas.
• Ensure materials are protected from damage, moisture, contamination, or unauthorized access.
• Follow company safety and housekeeping procedures.

Procurement & Department Coordination

• Coordinate with the Procurement, Accounts, Operations, and Maintenance teams regarding stock requirements.
• Inform procurement personnel when stock levels reach reorder points.
• Assist in preparing material requirements and purchase requests.
• Verify supplier deliveries and documentation.
• Coordinate material availability with operational teams.
• Provide accurate inventory information to management.
• Support smooth communication between the store and other departments.

Requirements

• Previous experience in storekeeping, warehouse operations, or inventory management is preferred.
• Knowledge of receiving, issuing, storing, and organizing materials.
• Good understanding of stock control and inventory procedures.
• Experience using ERP or inventory management systems is an advantage.
• Good computer skills and basic knowledge of Microsoft Office.
• Ability to maintain accurate stock records and documentation.
• Good numerical and organizational skills.
• Strong attention to detail.
