Responsibilities

The primary duties and responsibilities of this role are:

• Manage the VP’s calendar, schedule meetings, and coordinate travel arrangements with accuracy, efficiency, and confidentiality.
• Prepare, review, and edit correspondence, reports, presentations, and operational documents for internal and external stakeholders.
• Serve as the primary point of contact between the VP and internal teams, external partners, vendors, and regulatory authorities.
• Coordinate executive and departmental meetings, including agenda preparation, minute‑taking, and follow‑up on action items.
• Handle confidential and sensitive information with the highest level of discretion, maintaining secure and organized filing systems.
• Support the VP in tracking departmental projects, event timelines, budgets, and deliverables.
• Liaise with senior leadership across Event Operations, including Catering & Events, Special Events, Guest Services, and supporting departments to ensure smooth communication and alignment.
• Organize and support VIP visits, site inspections, pre‑opening walkthroughs, and executive‑level event engagements.
• Proactively anticipate the needs of the VP and provide solutions that enhance operational efficiency and executive effectiveness.
• Coordinate logistics for large‑scale events, pre‑opening activities, and cross‑departmental initiatives as required.

About You

• Bachelor’s degree in Business Administration, Hospitality Management, Communications, or a related field preferred.
• Minimum of 3–5 years of experience supporting senior leadership, preferably within hospitality, events, luxury environments, or large ‑ scale operations.
• Exceptional organizational skills with the ability to manage multiple priorities in a fast ‑ paced environment.
• Strong written and verbal communication skills with the ability to interact professionally at all levels.
• Strong problem ‑ solving skills and the ability to anticipate needs and take initiative.
• Experience coordinating events, logistics, or operational workflows is an advantage.
• Ability to work flexible hours based on business and event needs.
