Key Responsibilities

Accounts Receivable & Billing

• Maintain customer contracts and billing information accurately within the ERP system.
• Review customer contracts and match billing data, including Preventive Planned Maintenance (PPM) schedules provided by the Operations team.
• Generate scheduled and contract-based invoices accurately and on time.
• Circulate draft invoices to Account Managers for review and approval.
• Finalize, issue, and email approved invoices to customers.
• Record all invoices accurately in the Accounts Receivable (AR) Subledger.
• Ensure all billing complies with company policies and contractual agreements.

Collections & Customer Account Management

• Track issued invoices until payment is received.
• Monitor customer accounts and follow up on outstanding invoices.
• Manage Accounts Receivable aging reports and ensure timely collections.
• Maintain positive relationships with customers regarding payment matters.
• Identify disputed invoices and coordinate with the Financial Controller to raise appropriate provisions.
• Resolve billing discrepancies in collaboration with internal departments and customers.

Financial Reporting & ERP Management

• Maintain daily bookkeeping activities and ensure ERP balances remain accurate and up to date.
• Perform regular reconciliations of customer accounts and ledger balances.
• Support month-end receivable reconciliations and financial reporting.
• Assist with family-business recharge billing during month-end.
• Prepare receivable reports, collection summaries, and management MIS reports.
• Support forecasting and budgeting activities under the guidance of the Financial Controller.

Compliance & Administrative Support

• Ensure compliance with UAE VAT regulations and company financial procedures.
• Maintain organized billing, contract, and financial documentation.
• Support internal and external audits by providing accurate records.
• Coordinate with Operations, Account Managers, and Finance teams regarding billing and receivable matters.
• Perform additional finance-related duties assigned by management.

Requirements

• Bachelor’s Degree in Accounting, Finance, or a related field.
• 3–5 years of Accounts Receivable or billing experience, preferably within the services or facilities management industry.
• Strong knowledge of customer billing, collections, and receivable management.
• Good understanding of UAE VAT regulations.
• Experience using ERP systems and advanced Microsoft Excel.
• Excellent attention to detail and strong organizational skills.
• Strong analytical and problem-solving abilities.
• Fluent English communication skills; Arabic is an advantage.
• Ability to meet deadlines while maintaining high levels of accuracy.
