Key Responsibilities

Accounts Payable Management

• Process and verify supplier invoices accurately and efficiently.
• Ensure timely payments to vendors and service providers.
• Review invoices for accuracy and supporting documentation.
• Match purchase orders, invoices, and delivery notes.
• Maintain accurate Accounts Payable records.
• Monitor outstanding supplier balances and payment schedules.

Supplier Reconciliation

• Reconcile supplier statements on a regular basis.
• Investigate and resolve invoice discrepancies promptly.
• Coordinate with suppliers regarding payment-related issues.
• Maintain accurate vendor account balances.
• Ensure all reconciliations are completed before month-end.
• Prepare reconciliation reports for management review.

Payment Processing

• Prepare payment vouchers and payment schedules.
• Process bank transfers, cheques, and electronic payments.
• Verify payment approvals before processing.
• Maintain records of all completed payments.
• Monitor due dates to avoid payment delays.
• Ensure proper authorization for all financial transactions.

Financial Reporting & Month-End Support

• Support month-end and year-end closing activities.
• Prepare Accounts Payable reports and financial summaries.
• Assist in preparing management reports.
• Maintain organized financial records for audit purposes.
• Support internal and external audit requirements.
• Ensure accurate recording of accounting entries.

Compliance & Coordination

• Ensure compliance with company accounting policies and procedures.
• Follow financial control processes and internal policies.
• Coordinate with Procurement, Operations, and Finance departments.
• Maintain confidentiality of financial information.
• Assist with continuous process improvements.
• Perform additional accounting duties assigned by management.

Requirements

• Bachelor’s Degree in Accounting, Finance, Commerce, or a related field.
• Previous accounting or Accounts Payable experience is preferred.
• Good knowledge of accounting principles and financial reporting.
• Experience processing supplier invoices and payment runs.
• Proficiency in Microsoft Excel and accounting software.
• Strong analytical and reconciliation skills.
• Excellent attention to detail and organizational abilities.
• Good communication and interpersonal skills.
• Ability to work under pressure and meet deadlines.
• Team-oriented with a proactive and professional attitude.
