KEY RESPONSIBILITIES

Accounts Payable & Supplier Management

• Verify supplier invoices against purchase orders, delivery documents, and approved supporting records.
• Match supplier invoices with Goods Receipt Notes (GRNs) to confirm quantities, descriptions, and received materials.
• Process Accounts Payable transactions accurately and within established deadlines.
• Check invoice calculations, tax details, payment terms, and supplier information before processing.
• Reconcile supplier Statements of Account (SOAs) with company accounting records.
• Identify missing invoices, duplicate entries, credit notes, payment differences, and other outstanding items.
• Follow up with suppliers and internal departments to resolve discrepancies and clear pending balances.
• Maintain accurate supplier records and supporting AP documentation.

Expenses & Shipment Charges

• Record overhead expenses accurately in the accounting system.
• Review and allocate miscellaneous expenses to the appropriate accounts, departments, projects, or cost centers.
• Record and allocate shipment clearing charges and other related logistics expenses.
• Verify expense supporting documents, approvals, invoices, and payment records.
• Assist in monitoring outstanding expenses and ensuring timely recording of financial transactions.

General Ledger & Journal Entries

• Post basic General Ledger (GL) entries for assigned companies.
• Prepare and record routine journal entries under appropriate supervision.
• Ensure transactions are posted to the correct accounts and accounting periods.
• Assist with ledger reviews and identify incorrect, incomplete, or unusual entries.
• Maintain accurate accounting records for all assigned entities.
• Support basic account reconciliations and month-end accounting activities.

Purchase Orders & GRN Coordination

• Assist with the issuance of Purchase Orders (POs) and subcontract purchase orders.
• Verify required approvals, supplier details, descriptions, quantities, and agreed commercial terms.
• Coordinate with procurement, warehouse, and operations teams regarding PO processing.
• Follow up on GRN creation and ensure received materials are properly recorded.
• Support sales order posting and coordinate with relevant departments to resolve missing information.
• Maintain organized records of purchase orders, subcontract POs, GRNs, and related documents.

Customer Invoicing Support

• Assist with preparing customer invoices under supervisor review and approval.
• Verify sales order details, quantities, prices, supporting documents, and billing information.
• Coordinate with sales and operations teams to obtain missing invoicing details.
• Ensure customer billing records are accurate and properly maintained.
• Support invoice corrections, documentation, and filing as required.

REQUIREMENTS & QUALIFICATIONS

• Bachelor’s degree or diploma in Accounting, Finance, Commerce, or a related field.
• Previous experience in accounting, accounts payable, finance administration, or a similar role is preferred.
• Good understanding of supplier invoices, AP processing, GL entries, and reconciliations.
• Familiarity with POs, GRNs, subcontract POs, sales orders, and customer invoicing.
• Strong Microsoft Excel and accounting software skills.
• Excellent numerical ability, accuracy, and attention to detail.
• Good communication and follow-up skills.
• Ability to meet deadlines and work effectively with different departments.
• Strong organizational skills and professional integrity.
