Key Responsibilities

Accounts Payable Management

• Manage daily Accounts Payable (AP) activities.
• Receive, review, and process supplier invoices accurately.
• Verify invoices against purchase orders, delivery notes, and supporting documents.
• Ensure invoices are properly approved before payment processing.
• Maintain accurate supplier account records.
• Monitor outstanding invoices and payment due dates.
• Ensure supplier payments are processed accurately and on time.

Invoice Processing

• Check invoices for correct quantities, prices, tax details, and supplier information.
• Identify duplicate, incorrect, or incomplete invoices.
• Coordinate with relevant departments to resolve invoice discrepancies.
• Enter approved invoices into the accounting or ERP system.
• Maintain proper supporting documentation for every transaction.
• Organize invoices and payment records for easy retrieval.

Supplier Reconciliation

• Perform regular supplier statement reconciliations.
• Compare supplier statements with company accounting records.
• Investigate and resolve discrepancies promptly.
• Follow up with suppliers regarding missing invoices, credit notes, payments, and account differences.
• Maintain accurate reconciliation schedules.
• Ensure supplier balances are properly reflected in the General Ledger.

Payment Processing

• Prepare payment schedules based on approved invoices and payment terms.
• Process supplier payments through approved company procedures.
• Prepare payment vouchers, bank transfers, cheques, and related documentation.
• Ensure payments are supported by proper approvals.
• Maintain accurate records of completed and pending payments.
• Monitor payment deadlines and prioritize urgent transactions appropriately.

Accounting & Reconciliation

• Record AP transactions accurately in the accounting system.
• Assist with bank reconciliations and account reconciliations.
• Ensure AP balances are correctly reflected in the General Ledger.
• Prepare journal entries related to supplier transactions when required.
• Assist with month-end and year-end closing activities.
• Prepare AP aging reports and other accounting schedules.

Reporting & Compliance

• Prepare regular Accounts Payable reports for management.
• Monitor overdue and upcoming supplier payments.
• Maintain accurate AP aging information.
• Support internal and external audits by providing required documents.
• Follow company accounting policies and internal controls.
• Maintain proper records for applicable tax and compliance requirements.
• Ensure confidentiality of financial and supplier information.

Internal Coordination

• Coordinate with procurement, warehouse, operations, finance, and management teams.
• Follow up on pending invoice approvals.
• Resolve payment-related queries from suppliers and internal departments.
• Support improvements in invoice processing and payment procedures.
• Communicate professionally with vendors and stakeholders.

Requirements

• Bachelor’s degree in Accounting, Finance, Commerce, or a related field is preferred.
• Previous experience in Accounts Payable or general accounting is an advantage.
• Strong knowledge of accounting principles and bookkeeping.
• Understanding of invoice processing and supplier reconciliation.
• Knowledge of payment processing and General Ledger accounting.
• Proficiency in Microsoft Excel and accounting software/ERP systems.
• Strong analytical and numerical skills.
• Excellent attention to detail and accuracy.
• Good communication and organizational skills.
• Ability to manage multiple invoices and meet payment deadlines.
