Responsibilities

• Provide executive support by managing calendars, scheduling meetings, coordinating travel, and preparing agendas and minutes to ensure smooth leadership operations.
• Oversee office coordination including patient appointments, referrals, events, and daily workflow, while serving as a central point of communication across teams and stakeholders.
• Manage documentation and reporting by maintaining filing systems, preparing correspondence, and generating accurate reports and data analyses to support informed decision-making.
• Facilitate communication by handling calls, emails, and visitor interactions professionally, escalating concerns appropriately, and ensuring timely follow-up on tasks and deadlines.
• Support resource management through inventory control, supply ordering, petty cash handling, and vendor coordination to maintain efficient operations.
• Ensure compliance and safety by adhering to organizational policies, health and safety regulations, and infection control practices, contributing to a safe and professional environment.
• Contribute to organizational development by assisting with staff onboarding, event coordination, and corporate initiatives that enhance patient, staff, and leadership experience.

Qualifications

• Hospitality Management Diploma or equivalent
• At least 4 years of senior administrative assistant experience or 2+ years of Personal Assistant experience to CEO level
• Proficient in preparing and reviewing complex documents, data, contracts and presentations.
• Ability to think critically and maintain a high level of confidentiality
• Strong verbal and written communication skills
• Proficiency with Microsoft Office suite
