Key Responsibilities

Administrative Operations

• Manage daily office administration and ensure smooth business operations.
• Handle incoming phone calls, emails, and correspondence professionally.
• Maintain and organize office files, records, and confidential documents.
• Prepare letters, reports, presentations, and business documents.
• Coordinate meetings, appointments, and conference room schedules.
• Arrange travel bookings, accommodation, and transportation when required.

Office Coordination

• Support various departments with administrative tasks and documentation.
• Coordinate with vendors, suppliers, and service providers.
• Ensure office equipment is functioning properly and arrange maintenance when necessary.
• Assist in organizing company meetings, events, and employee activities.
• Maintain office cleanliness and ensure a professional working environment.
• Monitor office expenses and maintain administrative records.

Documentation & Record Keeping

• Maintain accurate employee, client, and company records.
• Prepare and update administrative reports and spreadsheets.
• Manage document filing systems for easy retrieval.
• Ensure proper handling and storage of confidential information.
• Assist in preparing reports for management review.

Communication & Support

• Serve as the first point of contact for visitors and business inquiries.
• Coordinate communication between departments and management.
• Assist HR and Finance departments with administrative documentation.
• Support onboarding activities and employee record management.
• Handle additional administrative duties assigned by management.

Requirements

• Bachelor’s Degree in Business Administration, Management, Commerce, or a related field.
• Previous experience in administration or office management is preferred.
• Proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint).
