Duties & Responsibilities – Data Entry and Document Control

Control and track the flow of documents within the department to ensure timely processing and approval.
Review documents carefully for accuracy, completeness, and compliance with internal standards.
Retrieve files and records as required by management or team members in a timely manner.
Identify, report, and assist in resolving any data discrepancies or document errors.
Ensure confidentiality and secure handling of sensitive records and information at all times.
Label, index, and archive documents systematically for long-term storage and reference.
Support audits or internal reviews by providing accurate documentation when requested.
Reception & Administrative Support
Greet visitors in a professional and courteous manner, ensuring a positive first impression of the organization.
Answer and direct incoming calls efficiently while maintaining proper phone etiquette.
Handle basic inquiries and route them to the appropriate departments or personnel.
Provide general office and administrative support such as photocopying, scanning, printing, and email coordination.
Assist with scheduling, correspondence, and other routine office tasks as required.
Qualifications & Experience
Diploma or higher educational qualification.
Prior experience in Data Entry, Document Control, or a similar administrative role.
Proficiency in MS Excel and MS Office applications for data entry, tracking, and reporting.
Good understanding of document management systems and filing procedures.
Skills & Competencies
Strong attention to detail with a high level of accuracy in data handling.
Excellent organizational and time management skills.
