Key Responsibilities

Recruitment & Hiring

• Manage and support end-to-end recruitment activities.
• Prepare job descriptions and coordinate job postings through appropriate channels.
• Source and screen candidates based on job requirements.
• Schedule interviews and coordinate with department heads.
• Communicate with candidates throughout the recruitment process.
• Maintain updated recruitment records and candidate databases.
• Assist management in selecting suitable candidates.

Employee Onboarding

• Coordinate employee onboarding and joining formalities.
• Prepare employment-related documentation and HR forms.
• Ensure new employees receive relevant company policies and information.
• Maintain accurate employee files and personal records.
• Coordinate with relevant departments for smooth employee integration.
• Conduct or support HR orientation activities when required.

Employee Records & HR Administration

• Maintain accurate and confidential employee records.
• Update HR databases and personnel information regularly.
• Manage employee documents, contracts, certificates, and related records.
• Maintain proper physical and digital filing systems.
• Handle employee letters, confirmations, and other HR documentation.
• Ensure HR records are organized and readily accessible when required.

Attendance, Leave & Payroll Support

• Monitor employee attendance and leave records.
• Maintain accurate attendance and leave documentation.
• Coordinate with finance or payroll teams for monthly payroll processing.
• Verify attendance, overtime, leave, and other payroll-related information.
• Respond to routine employee queries regarding attendance and leave.
• Maintain confidentiality of payroll and employee information.

Employee Relations

• Serve as a point of contact for routine employee HR-related matters.
• Support positive employee relations and workplace communication.
• Assist in resolving employee concerns according to company policies.
• Coordinate employee engagement activities and internal initiatives.
• Promote professional workplace behavior and company values.
• Support management with employee-related administrative matters.

HR Policies & Compliance

• Support implementation of HR policies and procedures.
• Maintain HR compliance documentation and records.
• Ensure HR activities follow applicable employment regulations and company requirements.
• Assist with preparing documents for internal reviews and audits.
• Maintain confidentiality when handling sensitive employee information.
• Keep updated with relevant HR practices and regulatory requirements.

HR Reporting & Support

• Prepare regular HR reports and management summaries.
• Maintain recruitment, attendance, leave, and employee statistics.
• Assist with performance review and training coordination.
• Support HR projects and process improvement initiatives.
• Coordinate with other departments regarding HR requirements.
• Perform additional HR duties assigned by management.

Requirements

• Bachelor’s degree in Human Resources, Business Administration, Management, or a related field is preferred.
• Previous experience in HR, recruitment, or personnel administration is an advantage.
• Good understanding of HR processes and employee administration.
• Strong communication and interpersonal skills.
• Excellent organizational and time-management abilities.
• Good knowledge of Microsoft Office, particularly Excel and Word.
• Ability to handle confidential information with professionalism.
• Strong attention to detail and documentation skills.
