Key Responsibilities

HR Administration

• Manage daily HR administrative activities and ensure smooth HR operations.
• Maintain accurate and updated employee records and personnel files.
• Prepare HR letters, certificates, forms, reports, and official correspondence.
• Maintain confidential employee information and documentation.
• Ensure HR records are properly organized and easily accessible.
• Update HR databases and employee information regularly.
• Support the implementation of company HR policies and procedures.

Recruitment & Selection

• Coordinate recruitment activities from vacancy requirements through joining.
• Prepare and publish job advertisements through appropriate channels.
• Screen applications and shortlist suitable candidates.
• Coordinate interview schedules with candidates and hiring managers.
• Maintain recruitment trackers and candidate databases.
• Communicate with candidates regarding interviews, documentation, and joining formalities.
• Assist management in selecting suitable candidates.
• Coordinate reference checks and pre-employment documentation when required.

Employee Onboarding

• Manage employee onboarding and joining procedures.
• Collect and verify required employee documents.
• Prepare employment-related documentation and joining files.
• Coordinate induction and orientation programs for new employees.
• Explain basic company policies, procedures, and workplace requirements.
• Coordinate with relevant departments to arrange access, identification, equipment, and other joining requirements.
• Ensure new employee records are completed accurately.

Attendance & Leave Management

• Monitor employee attendance, leave, and absence records.
• Maintain accurate attendance reports and leave records.
• Coordinate with employees and department heads regarding attendance issues.
• Assist with monthly attendance and payroll-related information.
• Monitor employee leave balances and documentation.
• Report unusual attendance patterns or unresolved issues to management.
• Ensure attendance procedures are followed consistently.

Employee Relations

• Serve as a point of contact for routine employee HR queries.
• Provide professional and timely support to employees.
• Assist in resolving workplace concerns in accordance with company policies.
• Maintain professional relationships with employees and management.
• Support employee engagement activities and internal HR initiatives.
• Maintain confidentiality when handling employee concerns.
• Escalate complex employee relations matters to senior HR management.

Payroll & HR Support

• Assist the HR and Finance teams with payroll-related activities.
• Provide accurate attendance, leave, overtime, and employee information for payroll processing.
• Maintain payroll supporting documents.
• Assist with employee salary-related documentation when required.
• Coordinate with relevant departments to resolve payroll information discrepancies.
• Maintain confidentiality of employee compensation information.

HR Compliance & Documentation

• Maintain HR records in accordance with company procedures and applicable requirements.
• Ensure employee documentation is complete and properly maintained.
• Assist with employment-related compliance documentation.
• Support HR audits and inspections by providing required records.
• Maintain accurate records of employee contracts, visas, certifications, and other relevant documents where applicable.
• Monitor document expiry dates and coordinate renewals when required.

HR Reporting

• Prepare regular HR reports and management summaries.
• Maintain recruitment, attendance, leave, employee turnover, and other HR trackers.
• Analyze basic HR data and provide accurate information to management.
• Prepare reports using Microsoft Excel and other HR systems.
• Ensure HR reports are accurate and submitted within deadlines.

Requirements

• Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
• Previous experience in HR or Human Resources administration is preferred.
• Good knowledge of recruitment and employee administration processes.
• Strong understanding of basic HR policies and procedures.
• Good knowledge of Microsoft Office, especially Excel and Word.
• Strong communication and interpersonal skills.
• Excellent organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Ability to maintain employee confidentiality.
