Key Responsibilities

Accounts Payable Processing

• Process supplier invoices accurately and within established timelines.
• Perform 3-way matching between Purchase Orders, Goods Receipt Notes, and supplier invoices.
• Verify invoice details, quantities, prices, and supporting documents.
• Assist with Accounts Payable transaction processing.
• Maintain accurate supplier account records.
• Follow up on pending invoice approvals and supporting documentation.

Supplier Reconciliation

• Reconcile supplier statements with company accounting records.
• Identify and investigate invoice discrepancies.
• Coordinate with suppliers to resolve outstanding issues.
• Maintain accurate records of supplier balances and transactions.
• Follow up on credit notes, missing invoices, and payment-related queries.
• Ensure supplier accounts are regularly reviewed and updated.

Payment Processing

• Assist in preparing supplier payment schedules.
• Prepare cheque payments according to company procedures.
• Process or coordinate online bank transfers after appropriate approvals.
• Verify payment documentation before submission.
• Maintain accurate records of completed payments.
• Coordinate with Finance and management for timely payment approvals.

Documentation & Filing

• Maintain accurate physical and digital filing of Accounts Payable documents.
• Organize invoices, purchase orders, GRNs, payment vouchers, and related records.
• Ensure financial documents are easily accessible for audits and reviews.
• Maintain confidentiality of supplier and financial information.
• Follow company documentation and record-retention procedures.

Month-End & Compliance Support

• Support month-end and year-end closing activities.
• Assist with AP reconciliations and closing schedules.
• Ensure transactions are recorded accurately before financial closing.
• Support compliance with UAE VAT requirements.
• Maintain VAT-related invoice documentation.
• Assist auditors and senior accountants with required AP records.

Internal Coordination

• Coordinate with Procurement, Operations, and Finance teams.
• Follow up on invoice approvals to prevent payment delays.
• Resolve internal queries related to supplier invoices and payments.
• Maintain professional communication with suppliers and internal departments.

Qualification & Requirements

• Bachelor’s Degree in Accounting, Finance, or a related field.
• 1–3 years of experience in Accounts Payable or a similar accounting role.
• UAE accounting experience is an advantage.
• Basic knowledge of UAE VAT regulations.
• Familiarity with ERP systems and Microsoft Excel.
• Good communication and interpersonal skills.
• Strong organizational and analytical abilities.
• Excellent attention to detail and accuracy.
• Ability to manage multiple tasks and meet deadlines.
• Positive attitude and willingness to learn.
• Ability to work effectively as part of a team.
