Payables Accountant Full Time

Key Responsibilities

Supplier Invoice Processing

• Review, verify, and post supplier invoices and credit notes accurately.
• Check invoices for correct supplier details, amounts, dates, tax information, and approvals.
• Ensure all invoices are supported by appropriate documentation.
• Identify duplicate, incorrect, or incomplete invoices and coordinate for resolution.
• Maintain accurate records of processed invoices.
• Ensure supplier invoices are recorded within the appropriate accounting period.
• Follow company procedures and approval requirements before processing payments.

Invoice Matching & Verification

• Match supplier invoices with purchase orders, contracts, and receiving documents.
• Verify quantities, prices, payment terms, and other relevant details.
• Investigate discrepancies between purchase orders, delivery documents, and invoices.
• Coordinate with procurement, receiving, operations, and other departments to resolve invoice issues.
• Ensure invoices are properly approved before payment processing.
• Maintain complete supporting documentation for all AP transactions.

Supplier Payments

• Prepare approved supplier payments according to agreed payment terms and company procedures.
• Review payment schedules and prioritize due invoices appropriately.
• Ensure payments are supported by accurate documentation and approvals.
• Maintain records of payment transactions and confirmations.
• Coordinate with finance and authorized personnel regarding payment processing.
• Follow up on pending approvals to prevent unnecessary payment delays.

Supplier Reconciliation

• Reconcile supplier statements regularly with company accounting records.
• Investigate outstanding, unmatched, or disputed transactions.
• Maintain accurate supplier account balances.
• Resolve discrepancies in vendor ledgers promptly.
• Prepare reconciliation schedules and supporting documents.
• Communicate with suppliers regarding invoice balances, payment status, and account queries.

AP Ledger & Aging Management

• Maintain accurate Accounts Payable ledgers.
• Monitor AP aging reports and identify overdue or upcoming obligations.
• Track payment schedules and ensure invoices are settled within agreed terms.
• Review outstanding balances regularly.
• Provide AP aging information and reports to management when required.
• Assist in maintaining healthy supplier relationships through timely and accurate payments.

Employee Expenses & Petty Cash

• Process and verify employee expense claims according to company policies.
• Check supporting receipts, approvals, and expense documentation.
• Record employee expenses accurately in the accounting system.
• Process and maintain petty-cash transactions.
• Reconcile petty cash balances regularly.
• Investigate discrepancies and ensure proper documentation for all cash transactions.

Month-End & Year-End Closing

• Support month-end and year-end closing activities.
• Ensure all supplier invoices and relevant expenses are recorded in the correct accounting period.
• Prepare AP schedules and reconciliation reports.
• Assist with accruals, provisions, and outstanding invoice reviews where required.
• Provide supporting documentation for financial reporting.
• Assist with audit schedules and respond to accounting information requests.

VAT, Tax & Internal Controls

• Ensure AP transactions comply with applicable VAT and tax requirements.
• Verify tax information and documentation on supplier invoices.
• Maintain proper records required for tax reporting and audits.
• Follow company policies and established internal controls.
• Ensure appropriate authorization and segregation of duties are maintained.
• Identify control weaknesses or unusual transactions and report them to management.
• Maintain confidential financial and supplier information.

Requirements

• Degree or diploma in Accounting, Finance, Commerce, or a related field is preferred.
• Relevant experience in Accounts Payable or general accounting.
• Strong understanding of AP processes and accounting principles.
• Practical knowledge of supplier invoice processing and reconciliations.
• Good knowledge of purchase orders, contracts, receiving documents, and payment procedures.
• Understanding of VAT and tax requirements is preferred.
• Good knowledge of Microsoft Excel and accounting software/ERP systems.
• Strong numerical and analytical skills.
• Excellent attention to detail and accuracy.
• Good organizational and time-management skills.
• Ability to manage multiple invoices and payment deadlines.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a finance team.
