Key Responsibilities

Procurement & Supplier Management

• Manage daily procurement and purchasing activities according to business requirements.
• Source products, materials, and supplies from reliable local and overseas suppliers.
• Identify suitable international suppliers based on quality, price, delivery timelines, and commercial terms.
• Obtain and compare supplier quotations before purchasing decisions.
• Negotiate competitive prices, payment terms, delivery schedules, and commercial conditions.
• Build and maintain strong relationships with overseas suppliers.
• Monitor supplier performance and resolve purchasing-related issues.
• Maintain updated supplier information and procurement records.
• Follow up on purchase orders and ensure suppliers meet agreed delivery commitments.

Import & Export Coordination

• Coordinate import and export activities from supplier order placement through final delivery.
• Prepare and verify import/export documentation.
• Ensure commercial invoices, packing lists, certificates, shipping documents, and other required paperwork are accurate.
• Coordinate with suppliers and freight partners regarding shipment schedules.
• Monitor shipment status and communicate delays or changes to relevant departments.
• Ensure import/export activities comply with applicable regulations and company procedures.
• Maintain organized records of international purchasing and shipping documentation.

Shipping & Freight Coordination

• Handle shipping, customs clearance, and freight coordination activities.
• Coordinate with freight forwarders, shipping agents, customs brokers, and logistics providers.
• Arrange appropriate transportation for international shipments.
• Track shipments and ensure timely movement of goods.
• Follow up with freight partners regarding documentation, customs clearance, and delivery schedules.
• Identify and resolve shipment delays, documentation issues, and logistics discrepancies.
• Ensure goods reach the required destination within agreed timelines and commercial conditions.

Supply Chain Management

• Maintain a good understanding of supply chain and inventory management processes.
• Coordinate procurement requirements with inventory and warehouse teams.
• Monitor stock requirements and support timely replenishment.
• Avoid unnecessary overstocking while ensuring adequate inventory availability.
• Coordinate with internal departments regarding material requirements and delivery schedules.
• Monitor procurement lead times and supplier delivery performance.
• Support improvements in purchasing and supply chain efficiency.

Delivery & Order Monitoring

• Monitor purchase orders from confirmation through final delivery.
• Ensure on-time delivery of purchased goods and materials.
• Follow up regularly with suppliers regarding production and dispatch schedules.
• Coordinate with warehouse and logistics teams for incoming shipments.
• Verify delivered goods against purchase orders and shipping documentation.
• Report shortages, damages, delays, or discrepancies promptly.
• Maintain accurate delivery and order-tracking records.

Compliance & Documentation

• Ensure procurement activities comply with import/export regulations and company policies.
• Maintain accurate purchasing, supplier, shipping, and customs documentation.
• Ensure required approvals are obtained before purchase commitments.
• Maintain proper records for audit and reporting purposes.
• Coordinate with finance teams regarding invoices, payments, and supplier documentation.
• Ensure procurement records are complete, accurate, and easily accessible.

Reporting & Coordination

• Prepare procurement and shipment status reports when required.
• Track supplier quotations, purchase orders, shipments, and pending deliveries.
• Provide updates to management regarding procurement activities and potential delays.
• Coordinate closely with Finance, Warehouse, Logistics, Operations, and Management teams.
• Support cost-saving initiatives and identify opportunities to improve procurement processes.
• Maintain professional communication with suppliers and service providers.

Requirements & Skills

• 2–5 years of experience in Procurement, Import/Export, or Freight.
• Practical experience managing overseas suppliers is preferred.
• Strong knowledge of international purchasing and sourcing procedures.
• Good understanding of shipping, customs clearance, and freight coordination.
• Strong knowledge of supply chain and inventory management.
• Understanding of import/export documentation and compliance requirements.
• Strong negotiation and supplier-management skills.
• Excellent communication and coordination abilities.
• Good organizational and time-management skills.
• Ability to work under pressure and meet procurement deadlines.
• Proficiency in Microsoft 365 / MS Office.
• Knowledge of Microsoft Dynamics or similar ERP software is an advantage.
• Strong attention to detail and documentation accuracy.
