KEY RESPONSIBILITIES

Front Desk & Visitor Management

• Greet and welcome visitors, clients, and guests in a polite and professional manner.
• Provide basic information and direct visitors to the appropriate department or employee.
• Maintain an organized visitor reception process and ensure visitors are attended to promptly.
• Receive incoming calls, take messages, and direct calls to the relevant personnel when required.
• Maintain a professional and welcoming atmosphere at the reception area.
• Handle routine visitor and front-desk inquiries efficiently.

Gate Pass Coordination

• Apply for and process gate passes for employees, visitors, and vendors when necessary.
• Collect and verify required information and supporting documents for gate-pass applications.
• Maintain accurate records and logs related to issued and processed gate passes.
• Coordinate with relevant departments or security personnel regarding visitor and vendor access.
• Follow established company procedures for access control and visitor management.

Office Supplies & Stationery

• Coordinate the ordering and distribution of office stationery and supplies.
• Monitor stationery and general office-supply requirements.
• Maintain records of supplies received, distributed, and available in stock.
• Coordinate with vendors regarding orders, deliveries, and related documentation.
• Inform management or the relevant department when supplies need to be replenished.
• Ensure office supplies are properly organized and readily available.

Administrative Support

• Assist management with administrative and coordination tasks as required.
• Prepare, organize, scan, print, file, and maintain routine office documents.
• Maintain accurate reception, visitor, gate-pass, and office-supply records.
• Update logs and databases regularly to ensure information remains current.
• Coordinate with internal departments regarding administrative requirements.
• Perform other administrative duties assigned by management.
• Maintain confidentiality when handling company information and documents.

Reception Area Management

• Maintain a clean, organized, and professional reception area at all times.
• Ensure reception materials, registers, documents, and office equipment are properly arranged.
• Coordinate with housekeeping or facilities teams when additional support is required.
• Maintain a professional appearance and courteous approach when dealing with visitors.

QUALIFICATIONS & EXPERIENCE

• Diploma or Bachelor’s Degree in Business Administration or a related field is preferred.
• 2–3 years of experience in a receptionist, administrative, or customer service role.
• Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
• Strong verbal and written communication skills in English.
• Excellent organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Ability to multitask and work effectively in a busy office environment.
• Professional, approachable, responsible, and service-oriented personality.
• Ability to work independently and coordinate effectively with different teams.
