Key Responsibilities

Front Desk Operations

• Greet and welcome visitors, clients, and guests in a professional manner.
• Manage the reception area to ensure it is clean, organized, and presentable at all times.
• Answer, screen, and forward incoming phone calls efficiently.
• Handle inquiries from clients and visitors and provide accurate information.
• Maintain visitor logs and ensure proper check-in and check-out procedures.
• Issue visitor passes and ensure compliance with company security policies.

Communication & Coordination

• Manage incoming and outgoing emails and correspondence.
• Coordinate with internal departments regarding visitor requests and appointments.
• Schedule meetings, appointments, and conference room bookings.
• Relay messages accurately and promptly to relevant staff members.
• Assist in coordinating travel arrangements and basic administrative tasks when required.
• Support smooth communication between clients, staff, and management.

Administrative Support

• Maintain and update front desk records, logs, and registers.
• Handle filing, scanning, and documentation tasks.
• Assist with office supply tracking and basic inventory monitoring.
• Support administrative departments with clerical duties as needed.
• Prepare basic reports and documentation for management review.
• Ensure confidentiality of company and client information.

Customer Service

• Provide excellent customer service and ensure a positive first impression.
• Handle guest complaints or concerns professionally and escalate when necessary.
• Assist clients and visitors with directions and guidance within the office.

Requirements

• Proven experience as a Front Desk Executive, Receptionist, or similar role.
• Excellent verbal and written communication skills.
