Key Responsibilities

• Ensure all HR records are properly filed and easy to retrieve.
• Prepare documents and forms required for HR processes.
• Maintain both electronic and physical filing systems.
• Handle employee information with strict confidentiality and professionalism.

Recruitment Support

• Assist with recruitment and hiring activities.
• Coordinate with candidates regarding interview schedules.
• Schedule interviews and maintain interview calendars.
• Assist in preparing candidate information and recruitment documentation.
• Coordinate with hiring managers regarding interview arrangements.
• Maintain recruitment records and update candidate information.
• Support the HR team during recruitment campaigns and selection processes.

Onboarding & Induction

• Support employee onboarding, induction, and orientation activities.
• Prepare joining documentation and onboarding forms.
• Coordinate with relevant departments to arrange requirements for new employees.
• Assist new employees with basic HR procedures and documentation.
• Maintain accurate onboarding records.
• Help ensure new employees receive relevant company information and policies.
• Support HR during induction sessions and employee orientation programs.

Reports & Correspondence

• Prepare HR reports, letters, forms, and official correspondence.
• Assist with preparing employee-related reports for management.
• Draft routine HR letters and communications as instructed.
• Maintain accurate HR data for reporting purposes.
• Assist with preparing attendance, employee, recruitment, and administrative reports.
• Ensure documents are professionally formatted and accurate.
• Maintain proper records of HR correspondence.

Employee Support

• Handle employee queries professionally and provide timely support.
• Direct employees to the appropriate HR personnel when necessary.
• Assist employees with routine HR documentation and administrative requests.
• Maintain a positive and professional relationship with employees.
• Follow up on employee requests and ensure timely responses.
• Maintain confidentiality when handling sensitive employee matters.

Filing & Confidentiality

• Maintain organized HR filing systems.
• Ensure confidential records are securely stored and accessed only by authorized personnel.
• Protect employee personal and employment information.
• Regularly review files to ensure documents are complete and properly maintained.
• Assist with document retrieval during audits or management reviews.
• Follow company HR policies and documentation procedures.

Requirements

• Bachelor’s degree in HR or a relevant field.
• Previous HR or administrative experience is preferred.
• Freshers can also apply.
• Good computer skills.
• Proficiency in MS Office, including:
