Role Description

• The Personal Assistant role at Gulf Paints and Adhesives Factory is a full-time, on-site position based in Al Ain. Manage the General Manager’s daily schedule, appointments, meetings, and priorities.
• Coordinate and follow up on instructions issued by the General Manager to different departments.
• Maintain a daily task and follow-up list and provide updates on pending matters.
• Coordinate with Production, Sales, Purchase, Finance, Warehouse, Logistics, Quality Control, R&D, and HR departments.
• Prepare daily, weekly, and monthly management reports as required.
• Collect operational and business information from different departments and present it to the General Manager.
• Prepare meeting agendas, presentations, reports, letters, and official correspondence.
• Attend management meetings, prepare minutes, and follow up on assigned action points.
• Monitor important deadlines, commitments, orders, deliveries, payments, and other management priorities.
• Assist the General Manager in following up on production plans, raw-material requirements, customer orders, and delivery schedules.
• Arrange business meetings, factory visits, customer visits, travel, accommodation, and transportation.
• Handle emails, phone calls, correspondence, and confidential documents professionally.
• Maintain proper filing and document-control systems for management records.
• Assist with preparation of presentations, business proposals, quotations, and management summaries.

Qualifications & Experience

• Bachelor’s degree or diploma in Business Administration, Management, Secretarial Studies, or a related field.
• 3–5 years of experience as a Personal Assistant, Executive Assistant, Secretary, or similar position.
• Experience supporting a General Manager, Managing Director, or senior management is preferred.
• Experience in a paint, chemical, manufacturing, or industrial company is an advantage.
• Strong knowledge of Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
• Excellent English communication and business writing skills.
