Key Responsibilities

Invoicing

• Prepare and issue accurate customer invoices in a timely manner.
• Review billing information before generating invoices.
• Verify supporting documents, service details, quantities, rates, and approvals.
• Coordinate with Operations and Sales teams to obtain complete billing information.
• Ensure invoices are processed according to company procedures.
• Monitor invoice status and follow up on pending billing requirements.
• Resolve invoice discrepancies promptly.
• Respond professionally to customer queries related to invoices.
• Maintain proper records of invoices issued and supporting documents.

Accounts Receivable & Collections

• Monitor customer accounts, outstanding balances, and payment status.
• Maintain updated accounts receivable records.
• Follow up with customers regarding overdue payments.
• Contact customers through phone, email, and customer visits when required.
• Maintain professional relationships while following up on outstanding receivables.
• Reconcile customer accounts and investigate payment differences.
• Coordinate with customers to resolve payment disputes.
• Escalate long-outstanding accounts to management when necessary.
• Prepare customer statements and outstanding balance information.
• Ensure collection activities are properly documented.

Aging & Collection Reports

• Prepare regular accounts receivable aging reports.
• Monitor current, overdue, and long-outstanding customer balances.
• Provide management with regular updates on collection status.
• Track customer payment commitments and follow up accordingly.
• Maintain accurate records of collection activities.
• Record customer communications, payment promises, and follow-up actions.
• Highlight potential collection risks to the Finance Manager.
• Assist in improving collection efficiency and reducing overdue balances.

Accounting Support

• Record and reconcile customer receipts and payments.
• Ensure customer payments are allocated to the correct invoices.
• Assist with bank reconciliations and account reconciliations.
• Investigate discrepancies between customer records and accounting system balances.
• Maintain accurate accounting records and supporting documentation.
• Assist with journal entries and routine accounting activities when required.
• Support month-end and year-end closing activities.
• Provide financial information and schedules to senior accounting staff.

Financial Reporting

• Assist with preparing financial and accounts receivable reports.
• Generate periodic collection and customer balance reports.
• Prepare supporting schedules for management review.
• Assist with month-end reporting requirements.
• Provide accurate information for financial analysis.
• Maintain proper documentation for reporting purposes.
• Ensure reports are accurate and submitted within deadlines.
• Assist in identifying unusual balances or accounting discrepancies.

Administration & Customer Records

• Maintain and update customer master data in the ERP system.
• Ensure customer information, billing details, and payment terms are accurate.
• Maintain organized digital and physical accounting records.
• File invoices, receipts, statements, correspondence, and supporting documents.
• Ensure customer communications and collection records are properly maintained.
• Support general finance administration.
• Handle confidential financial and customer information responsibly.

Audit & Compliance Support

• Assist with internal and external audit requirements.
• Provide invoices, receipts, customer statements, reconciliations, and supporting documentation when requested.
• Ensure financial records are complete and properly organized.
• Follow company accounting policies and procedures.
• Support compliance-related documentation requirements.
• Maintain accurate records for financial reviews.
• Report accounting discrepancies or unusual transactions to management.

Team Coordination

• Coordinate with Finance, Sales, Operations, Customer Service, and Management teams.
• Follow up on missing billing information and supporting documents.
• Communicate customer payment issues to relevant departments.
• Assist Sales and Operations teams with billing-related queries.
• Work closely with colleagues to resolve invoice and collection issues.
• Participate in finance meetings and process-improvement activities.
• Perform additional accounting and administrative duties assigned by management.

Qualifications & Requirements

• Bachelor’s degree or Diploma in Accounting, Finance, or a related field.
• 2–5 years of experience in accounting, invoicing, and collections.
• Good understanding of Accounts Receivable processes.
• Practical knowledge of customer invoicing and payment follow-up.
• Experience with account reconciliation is preferred.
• Proficiency in ERP systems and Microsoft Excel.
• Strong communication and customer-handling skills.
• Excellent follow-up and negotiation abilities.
• Strong analytical and numerical skills.
• Excellent attention to detail and accuracy.
• Good organizational and time-management skills.
• Ability to work independently and manage multiple tasks effectively.
• Ability to meet deadlines in a fast-paced finance environment.
• UAE experience will be an added advantage.
