Key Responsibilities

Accounts Payable Operations

• Receive, verify, and process supplier invoices accurately.
• Match purchase orders, delivery notes, and invoices before payment processing.
• Ensure all invoices are properly approved according to company procedures.
• Prepare payment vouchers and process supplier payments on schedule.
• Maintain accurate Accounts Payable records and supporting documentation.
• Monitor outstanding vendor balances and ensure timely settlement.
• Reconcile supplier statements and resolve payment discrepancies.

Financial Reporting & Reconciliation

• Perform regular reconciliation of vendor accounts.
• Assist in month-end and year-end closing activities.
• Prepare Accounts Payable aging reports and payment schedules.
• Generate financial reports for management review.
• Maintain General Ledger entries related to Accounts Payable.
• Assist in preparing cash flow reports related to supplier payments.
• Ensure accuracy of financial data entered into the accounting system.

Compliance & Documentation

• Maintain organized records of invoices, payments, and financial documents.
• Ensure compliance with company financial policies and accounting procedures.
• Support internal and external audits by providing required documentation.
• Maintain confidentiality of financial information.
• Follow accounting standards and internal control procedures.
• Assist with tax and VAT-related documentation where applicable.

Coordination & Support

• Coordinate with purchasing, stores, receiving, and finance departments.
• Communicate professionally with suppliers regarding payments and account queries.
• Support hotel operational departments with finance-related requests.
• Assist the Finance Manager with special projects and reporting.
• Perform additional accounting duties assigned by management.

Requirements

• Relevant experience in the same Accounts Payable position is preferred.
• Knowledge of hotel operations is highly desirable.
• Positive attitude with excellent teamwork skills.
• Ability to work under pressure and meet payment deadlines.
• Good understanding of accounting principles and Accounts Payable procedures.
• Proficiency in Microsoft Excel and accounting software or ERP systems.
• Strong analytical, organizational, and communication skills.
• High attention to detail and accuracy.
