Key Responsibilities

Billing & Documentation

• Prepare accurate invoices, bills, quotations, and related documentation.
• Verify customer and transaction details before preparing billing documents.
• Maintain proper records of invoices, quotations, and billing transactions.
• Check supporting documents and ensure billing information is complete.
• Assist with resolving billing discrepancies and documentation issues.
• Follow up on pending information required for invoice preparation.

Administrative Activities

• Handle daily billing and general administrative activities.
• Maintain organized physical and digital filing systems.
• Prepare, update, and distribute administrative documents.
• Support routine office operations and departmental requirements.
• Maintain confidential company and customer information appropriately.
• Assist management and colleagues with assigned administrative tasks.

Data Entry & Record Management

• Perform accurate and timely data entry into company systems and Excel spreadsheets.
• Maintain updated billing, customer, and administrative records.
• Verify data for accuracy, completeness, and consistency.
• Organize financial and administrative information for easy retrieval.
• Maintain proper documentation for billing and reporting purposes.
• Identify missing or inconsistent information and coordinate with relevant departments.

Excel & Reporting

• Perform regular data analysis and reporting using Microsoft Excel.
• Prepare daily, weekly, or monthly reports as required.
• Use VLOOKUP and XLOOKUP to analyze and compare data.
• Create and maintain Pivot Tables for reporting and data summaries.
• Apply Excel formulas for calculations, tracking, and data management.
• Maintain accurate spreadsheets and update information regularly.

Department Coordination

• Coordinate with Accounts, Sales, and other departments as required.
• Collect information necessary for accurate billing and reporting.
• Follow up with departments regarding pending invoices and documentation.
• Assist in resolving billing-related queries and discrepancies.
• Share relevant reports and information with concerned team members.
• Maintain professional communication across departments.

Requirements

• Minimum 1 year of relevant UAE experience is preferred.
• Excellent MS Excel skills are mandatory.
• Strong knowledge of VLOOKUP/XLOOKUP, Pivot Tables, formulas, and data management.
• Previous billing, administrative, accounting support, or data-entry experience is an advantage.
• Strong attention to detail and accuracy.
• Good communication and organizational skills.
• Strong numerical and analytical abilities.
• Ability to manage multiple tasks and meet deadlines.
• Professional attitude and willingness to learn.
• Ability to work independently and as part of a team.
