Key Responsibilities

HR Administration

• Assist with the day-to-day HR operations and administrative activities.
• Maintain accurate employee information and HR databases.
• Prepare and organize HR forms, letters, reports, and correspondence.
• Maintain employee files in both physical and electronic formats.
• Ensure HR documentation is complete, accurate, and properly filed.
• Support the HR Officer or HR Manager with routine administrative tasks.
• Handle sensitive employee information with confidentiality.

Recruitment Support

• Assist with recruitment and hiring activities.
• Post job vacancies through appropriate recruitment channels.
• Review applications and CVs according to job requirements.
• Shortlist suitable candidates and forward profiles to the relevant HR personnel.
• Coordinate interview schedules with candidates and hiring managers.
• Communicate interview details and joining information to selected candidates.
• Maintain recruitment trackers and candidate records.
• Assist with preparing employment-related documentation.

Employee Onboarding

• Support the employee onboarding process for new employees.
• Collect and verify required joining documents.
• Prepare employee files and onboarding forms.
• Coordinate induction and orientation activities.
• Assist new employees with basic HR procedures and company requirements.
• Coordinate with relevant departments regarding employee joining formalities.
• Ensure all onboarding documentation is properly completed and maintained.

Attendance & Leave

• Assist in maintaining employee attendance and leave records.
• Monitor daily attendance information and report discrepancies.
• Update approved leave records in HR systems.
• Assist employees with routine leave-related queries.
• Prepare attendance and leave reports when required.
• Coordinate with supervisors regarding attendance concerns.
• Ensure HR records accurately reflect employee attendance and leave status.

Employee Support

• Respond to routine employee HR queries professionally and promptly.
• Provide employees with information regarding company procedures and HR policies.
• Assist employees with HR forms, letters, certificates, and other requests.
• Escalate complex or confidential employee matters to senior HR personnel.
• Maintain a positive and professional relationship with employees.
• Support employee engagement and internal HR activities.
• Maintain confidentiality when dealing with employee concerns.

HR Records & Compliance

• Maintain updated employee records and HR documentation.
• Organize employment contracts, identification documents, leave records, and correspondence.
• Assist in preparing documentation required for internal reviews and audits.
• Ensure HR records are properly maintained according to company procedures.
• Support HR compliance activities as directed by management.
• Follow company policies when handling employee information.
• Assist in keeping HR processes organized and properly documented.

Payroll & Reporting Support

• Provide HR-related information required for payroll processing.
• Assist in checking attendance, leave, overtime, and employee information.
• Coordinate with Finance regarding employee-related records when required.
• Prepare basic HR reports and employee summaries.
• Maintain accurate HR trackers and spreadsheets.
• Assist with monthly HR reporting activities.
• Ensure payroll-related information is submitted accurately and on time.

Requirements

• At least 2 years of experience in HR, Human Resources Administration, or a related field.
• Previous experience in an HR Assistant or HR administrative position is preferred.
• Good understanding of basic HR processes and procedures.
• Strong communication and interpersonal skills.
• Good organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Proficiency in Microsoft Office, especially Word and Excel.
• Experience with HR software or HR management systems is an advantage.
• Ability to maintain confidentiality of employee information.
• Good problem-solving and multitasking skills.
• Ability to work independently and as part of a team.
• Professional, responsible, and positive attitude.
• Ability to manage multiple HR tasks and meet deadlines.
