HR Assistant Full Time

KEY RESPONSIBILITIES

Recruitment & Selection

• Support the end-to-end recruitment process, from preparing job postings to coordinating interviews.
• Publish vacancies through appropriate recruitment channels and maintain accurate vacancy information.
• Screen CVs and shortlist candidates according to job requirements.
• Coordinate interview schedules between candidates and hiring managers.
• Communicate with candidates regarding interview timings, required documents, and recruitment updates.
• Maintain recruitment records and ensure candidate information is properly organized.

Employee Records & HR Administration

• Maintain and update employee records, personnel files, and HR databases accurately.
• Ensure employee documentation is complete, current, and properly filed.
• Assist with preparing HR letters, forms, certificates, and other employee-related documents.
• Maintain organized physical and digital HR filing systems.
• Update employee information following transfers, promotions, leave, resignations, or other changes.

Onboarding & Induction

• Assist with employee onboarding and induction formalities for new joiners.
• Coordinate the collection and verification of required joining documents.
• Prepare onboarding documentation and ensure new employees complete necessary formalities.
• Coordinate with relevant departments regarding workstation, access, identification, and other joining requirements.
• Support new employees throughout the initial joining process.

Visa & Government Documentation

• Coordinate with the PRO regarding visa, labour card, Emirates ID, and other employee documentation.
• Assist in collecting and preparing documents required for government-related processes.
• Track document expiry dates and provide timely reminders for renewals.
• Maintain accurate records of visa and labour-related documentation.
• Follow up with the PRO and relevant departments to ensure documentation is completed on time.

Payroll & Attendance Support

• Support payroll processing by verifying employee attendance, leave, overtime, and other relevant information.
• Review attendance records and report discrepancies to the appropriate department.
• Maintain accurate leave and employee data for payroll purposes.
• Assist with monthly payroll-related documentation and reports.
• Ensure employee information is handled accurately and confidentially.

Employee Support & Administration

• Respond professionally to employee queries regarding HR policies, leave, documentation, and general administrative matters.
• Provide day-to-day administrative support to the HR department.
• Coordinate internal HR communications and employee-related activities.
• Assist with HR reports, spreadsheets, documentation, and other assigned tasks.
• Maintain strict confidentiality when handling employee and company information.

REQUIREMENTS

• Bachelor’s degree in HR, Business, or a related field.
• 2–4 years of UAE experience in HR/Administration roles.
• Good understanding of recruitment and general HR administration.
• Strong knowledge of MS Office, particularly Microsoft Excel and Word.
• Excellent communication and interpersonal skills.
• Highly organized and capable of multitasking.
• Strong attention to detail and accuracy.
• Ability to work independently and meet deadlines.
• Professional attitude with a high level of confidentiality and integrity.
• Ability to coordinate effectively with employees, management, candidates, and external service providers.
