HR Assistant Full Time

KEY RESPONSIBILITIES

Leave & Attendance Administration

• Assist the Senior HR Officer with end-to-end employee leave administration.
• Process and maintain records for annual, sick, unpaid, emergency, and other approved leave.
• Ensure leave requests and records are handled in accordance with company policies and applicable UAE Labour Law requirements.
• Monitor employee attendance, absences, late arrivals, and other attendance-related matters.
• Verify attendance and leave records before submitting monthly payroll inputs.
• Respond to employee queries regarding leave balances, attendance records, and leave procedures.

Payroll & WPS Support

• Prepare and validate monthly payroll inputs accurately and within required deadlines.
• Verify employee attendance, overtime, deductions, allowances, leave, and other payroll-related information.
• Coordinate with the Finance Department from time to time regarding payroll processing and employee payments.
• Assist in identifying and resolving payroll discrepancies in coordination with HR and Finance.
• Maintain accurate payroll-related records and supporting documentation.
• Assist with WPS-related payroll requirements and ensure relevant employee information is properly maintained.

Employee Records & HR Documentation

• Maintain accurate and up-to-date employee files, records, and HR databases.
• Prepare and organize employment-related documents, letters, forms, and HR correspondence.
• Ensure employee records are properly filed and easily accessible when required.
• Maintain confidentiality when handling employee, payroll, attendance, and other sensitive HR information.
• Support employee onboarding, documentation, and other HR administration activities when required.

HR Reporting & General Support

• Prepare regular HR reports and employee-related summaries as requested by management.
• Assist with attendance, leave, payroll, headcount, and other HR reports.
• Handle employee queries professionally and provide accurate information or escalate matters when necessary.
• Coordinate with other departments to resolve routine employee administration issues.
• Support the HR team with recruitment, onboarding, employee engagement, and other HR activities as required.
• Perform additional HR and administrative duties assigned by the Senior HR Officer or management.

REQUIREMENTS

• Bachelor’s Degree or Diploma in HR, Business Administration, or a related field.
• Minimum 3+ years of HR experience in a professional organization.
• Experience in Oil & Gas, Construction, Contracting, or a related industry is preferred.
• Strong knowledge of UAE Labour Law, payroll, WPS, leave, and attendance management.
• Proficiency in MS Office, particularly Microsoft Excel.
• Good understanding of payroll inputs, employee records, and HR documentation.
• Strong attention to detail and numerical accuracy.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Ability to maintain confidentiality and handle sensitive employee information professionally.
• Proactive, reliable, and capable of working independently as well as within a team.
