Front Desk Management

• Welcome visitors, clients, and guests with a warm and professional attitude.
• Maintain a clean, organized, and presentable reception area.
• Register visitors and maintain visitor records.
• Direct visitors to the appropriate departments or staff members.
• Ensure a positive first impression of the organization.
• Monitor front desk activities throughout the day.

Communication & Customer Service

• Answer incoming telephone calls promptly and professionally.
• Transfer calls to the relevant departments.
• Respond to customer inquiries via phone, email, and in person.
• Provide accurate information regarding company services and procedures.
• Handle customer concerns politely and escalate issues when necessary.
• Maintain excellent customer service standards at all times.

Administrative Support

• Schedule appointments, meetings, and conference room bookings.
• Receive, sort, and distribute incoming mail and courier deliveries.
• Assist with photocopying, scanning, filing, and document management.
• Maintain office records and administrative files.
• Coordinate office supplies and report replenishment needs.
• Support various departments with routine administrative tasks.

Office Coordination

• Assist in organizing meetings, events, and training sessions.
• Coordinate with internal departments for visitor and client requirements.
• Monitor reception equipment and report maintenance issues.
• Ensure confidentiality of company information and documents.
• Support office operations with additional administrative responsibilities.
• Perform other duties assigned by management.
