Key Responsibilities

• Identify visitors and direct them to the appropriate employee or department.
• Manage daily front desk activities efficiently.
• Provide accurate information to visitors and customers when required.
• Maintain professional standards of appearance and conduct at all times.

Telephone & Communication

• Answer and direct incoming phone calls professionally.
• Transfer calls to the appropriate departments or employees.
• Take accurate messages and ensure timely communication.
• Handle routine telephone inquiries and provide relevant information.
• Manage general reception emails and correspondence.
• Maintain a professional and courteous communication style.

Visitor Registration & Records

• Manage visitor registration and reception records.
• Record visitor details according to company procedures.
• Issue visitor passes or access information when required.
• Maintain accurate records of visitors, calls, emails, and messages.
• Ensure confidential company and visitor information is handled appropriately.
• Update reception records regularly.

Courier, Mail & Documents

• Coordinate courier, mail, and document transfers.
• Receive incoming mail, parcels, and documents.
• Distribute correspondence to the appropriate departments or employees.
• Arrange outgoing courier services when required.
• Maintain records of received and dispatched documents.
• Ensure important documents are handled and delivered safely.

Meeting & Office Support

• Assist with meetings and general office arrangements.
• Coordinate meeting room bookings and basic preparation.
• Arrange refreshments and required materials for meetings when requested.
• Assist visitors and clients during meetings.
• Support office events and administrative activities.
• Ensure meeting and reception areas remain organized and presentable.

Administrative Support

• Maintain basic office and reception records.
• Assist with filing, printing, scanning, photocopying, and document organization.
• Support daily administrative tasks assigned by management.
• Coordinate with different departments regarding routine office requirements.
• Assist with maintaining stationery and reception supplies.
• Prepare basic reports and records when required.

HR & Administration Support

• Support HR and Administration teams with daily activities.
• Assist with employee documentation and routine administrative tasks.
• Help coordinate internal communications and office requirements.
• Support scheduling and appointment coordination when required.
• Assist HR and Administration with document filing and record maintenance.
• Perform other reasonable administrative duties assigned by management.

Requirements

• Diploma or Bachelor’s degree is preferred.
• 1–4 years of receptionist or front office experience.
• Previous experience in a professional office environment is an advantage.
• Good communication skills in English.
• Basic knowledge of MS Office applications.
• Good telephone etiquette and customer service skills.
• Professional, friendly, and presentable personality.
