Key Responsibilities

Document Control Management

• Manage and maintain the company’s project documentation system.
• Receive, register, distribute, and track incoming and outgoing documents.
• Ensure documents are properly identified, categorized, and filed.
• Maintain accurate document registers and tracking logs.
• Ensure all documents follow established naming and numbering procedures.
• Monitor document status and maintain up-to-date records.
• Control document revisions and prevent the use of outdated information.
• Ensure confidential project documents are handled securely.

Shop Drawing Log Management

• Manage and update the Shop Drawing Log regularly.
• Record shop drawing submissions, revisions, approvals, comments, and resubmissions.
• Track the status of drawings submitted to consultants, clients, and project teams.
• Monitor pending approvals and follow up with relevant departments.
• Ensure the latest approved drawings are properly recorded and distributed.
• Maintain accurate revision histories for shop drawings.
• Coordinate with engineering and project teams regarding drawing updates.
• Prepare shop drawing status reports when required.

Project Documentation

• Maintain complete and organized project documentation.
• Handle drawings, technical documents, correspondence, approvals, transmittals, reports, and other project records.
• Register documents immediately upon receipt or submission.
• Ensure documents are stored according to project requirements.
• Maintain electronic and physical filing systems.
• Retrieve documents quickly when requested by authorized personnel.
• Ensure project records remain accurate throughout the project lifecycle.
• Support project teams with documentation requirements.

Document Submission & Distribution

• Prepare and process document transmittals and submissions.
• Distribute approved documents to relevant project personnel.
• Track submission dates, responses, comments, and approvals.
• Ensure documents are sent to the correct recipients.
• Maintain records of all document transmissions.
• Follow up on overdue responses and approvals.
• Ensure revised documents are distributed promptly.
• Maintain proof of document submission and receipt.

Revision & Version Control

• Maintain effective document revision and version control.
• Ensure revised documents receive the correct revision numbers.
• Archive superseded documents appropriately.
• Prevent unauthorized use of obsolete documents.
• Update document registers whenever revisions are received.
• Track document history and approval status.
• Verify that project teams have access to current versions.
• Coordinate with relevant departments regarding document changes.

Document Filing & Archiving

• Maintain systematic electronic and hard-copy filing systems.
• Organize project records according to document categories.
• Ensure files are properly named and easily searchable.
• Archive completed and superseded documents according to procedures.
• Maintain backups of important project records where required.
• Protect documents from unauthorized access, loss, or damage.
• Ensure records remain available for audits and future reference.
• Maintain proper document retention practices.

Coordination with Project Teams

• Coordinate with Project Managers, Engineers, Consultants, Site Teams, Procurement, QA/QC, and other departments.
• Follow up on missing documents and approvals.
• Assist teams with document submission procedures.
• Communicate document status clearly and accurately.
• Provide updated registers and reports to project management.
• Ensure project documentation requirements are understood.
• Support timely exchange of information between stakeholders.
• Respond professionally to document-related queries.

Reporting & Tracking

• Prepare regular document control and project status reports.
• Update document registers and tracking spreadsheets.
• Monitor outstanding submissions, approvals, comments, and revisions.
• Highlight delayed or missing documentation to management.
• Prepare shop drawing status reports.
• Track document turnaround times where required.
• Maintain accurate records for management review.
• Provide documentation information during project meetings when requested.

Quality & Accuracy

• Check documents for completeness, accuracy, formatting, and identification before registration or distribution.
• Verify document numbers, titles, revisions, and dates.
• Ensure required approvals and signatures are properly recorded.
• Follow company and project-specific document control procedures.
• Maintain high standards of accuracy in all registers.
• Identify inconsistencies and coordinate corrections.
• Support quality management and audit requirements.
• Ensure documentation is maintained in an orderly manner.

Administrative Support

• Provide general administrative and document management support to project teams.
• Assist with preparing meeting documentation and project correspondence.
• Scan, print, copy, upload, and distribute project documents as required.
• Maintain document-related spreadsheets and databases.
• Assist with compiling project records for handover.
• Support internal and external audits by providing required documentation.
• Perform other document control and administrative duties assigned by management.
• Maintain confidentiality of sensitive project information.

Qualifications & Requirements

• Bachelor’s Degree or equivalent qualification.
• Minimum 2–3 years of experience as a Document Controller.
• Practical experience in project documentation and document control.
• Experience managing project registers, submissions, revisions, and approvals.
• Experience maintaining Shop Drawing Logs is preferred.
• Good knowledge of document filing and version-control procedures.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Familiarity with document management systems or project collaboration platforms is an advantage.
• Strong organizational and time-management skills.
• Excellent attention to detail and accuracy.
• Good written and verbal communication skills.
• Ability to manage multiple documents and deadlines.
