Key Responsibilities

• Follow up with departments regarding pending or required documentation.

Filing & Records Management

• Maintain accurate electronic and hard-copy filing systems.
• Organize files systematically for quick retrieval.
• Ensure physical documents are stored securely and protected from damage or loss.
• Maintain electronic folders and document databases.
• Regularly review files to ensure information is complete and updated.
• Archive documents according to company retention procedures.
• Ensure only authorized personnel have access to confidential records.

Document Registers & Tracking

• Update document registers, logs, and tracking records regularly.
• Maintain accurate information regarding document numbers, dates, revisions, status, and recipients.
• Track document submissions and approvals.
• Monitor document expiry dates and renewal requirements where applicable.
• Prepare document status reports for management and relevant departments.
• Ensure tracking information is accurate and up to date.
• Identify missing or delayed documents and follow up promptly.

Departmental Coordination

• Coordinate with different departments to obtain required documentation.
• Communicate with property management, administration, finance, operations, and other teams as necessary.
• Follow up on incomplete or missing documents.
• Ensure departments receive the latest approved versions of documents.
• Support teams in maintaining proper document control practices.
• Respond to routine document-related requests promptly.

Accuracy & Compliance

Audit & Reporting Support

• Support internal and external audits by providing required documentation.
• Retrieve records and supporting documents quickly when requested.
• Prepare document registers and reports for management.
• Assist with compliance checks and document verification.
• Maintain audit-ready filing systems.
• Track outstanding audit documentation and follow up with responsible departments.
• Provide accurate document status information when required.

Requirements

• Minimum 2 years of relevant experience as a Document Controller.
• Property Management industry experience is mandatory.
• Good knowledge of document control procedures and filing systems.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Experience with document management systems is preferred.
• Strong organizational and communication skills.
• Excellent attention to detail and accuracy.
• Ability to manage multiple documents and tasks simultaneously.
