Key Responsibilities

Project Documentation

• Prepare, organize, and maintain project documentation, reports, and commissioning records.
• Ensure project documents are properly categorized, updated, and stored.
• Maintain accurate electronic and physical filing systems.
• Track document submissions, approvals, revisions, and distribution.
• Ensure the latest versions of project documents are available to relevant teams.
• Assist project teams with retrieving required technical and administrative documents.

Project Tracking

• Track project materials, equipment, costs, and overall project progress.
• Maintain project tracking sheets and documentation registers.
• Monitor project-related information and provide regular updates to management.
• Record project milestones, pending activities, and outstanding documentation.
• Assist in monitoring project schedules and deliverables.
• Ensure important project information is updated accurately and on time.

Materials & Procurement Coordination

• Coordinate with Purchase and Stores teams regarding project materials.
• Track material procurement and delivery status.
• Monitor material shortages and follow up on pending requirements.
• Maintain accurate records of material requests, deliveries, and availability.
• Update project teams regarding procurement and material tracking information.
• Assist in identifying potential material-related delays.

Cost Control & Project Support

• Monitor relevant project metrics and maintain accurate records.
• Support project cost-control activities.
• Assist in tracking project expenses, materials, and equipment costs.
• Prepare reports required for project monitoring.
• Highlight discrepancies or delays to the responsible project team.
• Support the project team in ensuring timely project execution.

Design Coordination

• Coordinate with the Design Team regarding project documentation and technical issues.
• Assist in tracking design modifications and revisions.
• Follow up on design-related queries and pending approvals.
• Coordinate documentation related to hydraulic calculations.
• Maintain records of approved drawings, modifications, and technical submissions.
• Ensure design documents are properly updated and distributed.

Qualification & Requirements

• Bachelor’s Degree or Diploma in Electrical or Mechanical Engineering.
• 1–2 years of Document Control experience is preferred.
• Experience in fire-fighting or construction projects is an advantage.
• Proficiency in document management systems.
• Good knowledge of document filing, tracking, and revision control.
• Strong organizational and multitasking skills.
• Excellent attention to detail and accuracy.
• Good understanding of project documentation processes.
• Ability to coordinate effectively with multiple departments.
• Strong written and verbal communication skills.
• Ability to work under deadlines and manage multiple priorities.
• Good proficiency in Microsoft Office applications, especially Excel and Word.
