Key Responsibilities

Administrative Support

• Provide day-to-day administrative support to management and various departments.
• Prepare, organize, and maintain office documents and records.
• Draft letters, reports, presentations, and other business documents.
• Manage filing systems, both physical and electronic.
• Handle incoming and outgoing correspondence efficiently.
• Maintain confidentiality of company information and documents.

Office Coordination

• Coordinate meetings, appointments, and conference room bookings.
• Prepare meeting agendas and take minutes when required.
• Welcome visitors and assist with general inquiries professionally.
• Coordinate travel arrangements, hotel bookings, and transportation when necessary.
• Monitor office supplies and place orders as required.
• Ensure the office environment remains organized and efficient.

Communication & Documentation

• Answer phone calls and direct inquiries to the appropriate departments.
• Respond to emails and maintain professional communication with clients and vendors.
• Prepare reports, spreadsheets, and presentations using Microsoft Office.
• Maintain accurate databases and employee records.
• Assist with document preparation for audits and compliance.
• Track and manage important deadlines and follow-ups.

Operational Support

• Coordinate with HR, Finance, Procurement, and Operations teams.
• Assist with invoice processing and document verification.
• Support onboarding activities for new employees.
• Maintain inventory records for office equipment and supplies.
• Help organize company events, meetings, and training sessions.
• Perform additional administrative duties assigned by management.

Requirements

• Bachelor’s Degree in Business Administration, Commerce, or a related field.
• Previous experience in an administrative or office support role is an advantage.
• Proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint).
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Good attention to detail and accuracy.
