Key Responsibilities

Administrative Duties

• Handle incoming calls, emails, and business correspondence professionally.
• Maintain and organize company records, files, and document management systems.
• Prepare letters, reports, presentations, and other business documents as required.
• Coordinate meetings, appointments, and schedules for management and staff.
• Arrange travel bookings, accommodation, and related logistics when required.
• Manage office supplies inventory and coordinate replenishment.
• Maintain office filing systems to ensure easy retrieval of documents.
• Support various departments with administrative tasks and documentation.
• Assist the Finance Department with record keeping and document management.
• Ensure confidentiality and security of company records and information.
• Monitor office operations and contribute to maintaining an efficient work environment.

Accounts Duties

• Prepare and process invoices, payments, receipts, and payment vouchers.
• Record financial transactions accurately in the accounting system.
• Maintain organized accounting records and supporting documentation.
• Assist in bank reconciliations and identify discrepancies for resolution.
• Track company expenses and maintain expense records.
• Follow up on customer payments and outstanding receivables.
• Coordinate with suppliers regarding invoices and payment schedules.
• Support Accounts Payable (AP) and Accounts Receivable (AR) activities.
• Assist with month-end and year-end accounting processes.
• Prepare basic financial reports and accounting summaries.
• Ensure proper filing and maintenance of financial documents.
• Support internal and external audit requirements when necessary.
• Maintain accuracy and compliance in all accounting transactions.

Requirements

• Bachelor’s Degree or Diploma in Accounting, Finance, Business Administration, or a related field.
• Minimum 1–2 years of experience in administration and accounting roles.
• Good knowledge of basic accounting principles and bookkeeping practices.
• Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook.
• Experience with QuickBooks is an added advantage.
• Good communication skills in English, both written and verbal.
• Strong organizational and time-management abilities.
• Excellent attention to detail and accuracy.
• Ability to work independently and manage multiple tasks efficiently.
