Key Responsibilities

Customer Service

• Welcome customers, visitors, and clients in a professional manner.
• Handle customer inquiries through phone, email, and in person.
• Provide accurate information about company services and programs.
• Resolve customer concerns promptly and professionally.
• Maintain high customer satisfaction through excellent service.
• Build and maintain positive customer relationships.

Front Office Operations

• Manage the reception and front desk efficiently.
• Answer and transfer incoming telephone calls.
• Schedule appointments and manage meeting calendars.
• Coordinate visitor registrations and maintain visitor logs.
• Ensure the reception area remains clean and organized.
• Receive and distribute incoming mail and courier packages.

Administrative Support

• Prepare reports, letters, and business documents.
• Maintain accurate records and filing systems.
• Perform data entry and update company databases.
• Coordinate office supplies and inventory requirements.
• Support HR, Finance, and Operations with administrative tasks.
• Assist management with daily office activities.

Centre Coordination

• Monitor daily centre operations to ensure smooth workflow.
• Coordinate with internal departments regarding customer requests.
• Support event planning, training sessions, and centre activities.
• Maintain attendance records and operational documentation.
• Prepare daily operational and customer service reports.
• Ensure compliance with company policies and procedures.

Sales & Business Support

• Assist customers with service registrations and documentation.
• Promote company services and special offers.
• Support business development activities when required.
• Follow up with customers regarding appointments and services.
• Maintain customer databases and feedback records.
• Assist in achieving departmental service goals.

Requirements

• Bachelor’s Degree in Business Administration, Management, Commerce, or a related field.
• Previous experience in customer service, administration, or front office operations is preferred.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
• Ability to work under pressure and meet deadlines.
