Key Responsibilities

• Manage and maintain project documents, drawings, technical submissions, and correspondence in an organized filing system.
• Establish and maintain document control procedures in accordance with company standards and project requirements.
• Control document revisions and ensure that only the latest approved versions are distributed to relevant departments and site teams.
• Prepare, track, and maintain records of document submissions, transmittals, requests for information (RFIs), and project-related documentation.
• Coordinate with engineers, project managers, consultants, contractors, and clients to ensure efficient document flow and timely approvals.
• Maintain both electronic and hard-copy filing systems for project records.
• Ensure documents are accurately filed, indexed, and easily retrievable when required.
• Monitor document review cycles and follow up on pending approvals and submissions.
• Register incoming and outgoing documents and maintain proper logs.
• Prepare weekly and monthly document control reports for management.
• Verify document formats, numbering, revisions, and compliance with project standards.
• Assist project teams with document preparation and submission processes.
• Archive completed project documents according to company procedures.
• Maintain confidentiality and security of sensitive project information.
• Support quality assurance and compliance requirements through accurate documentation management.
• Coordinate with various departments to ensure document consistency and accuracy.
• Identify opportunities to improve document control processes and workflow efficiency.
• Ensure compliance with company policies, project requirements, and document management standards.

Requirements

• Bachelor’s Degree or Diploma in Business Administration, Engineering, Management, or a related field.
• Previous experience as a Document Controller in construction, engineering, infrastructure, or project-based environments is preferred.
• Strong understanding of document control procedures and project documentation requirements.
• Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
• Experience using document management systems (DMS) and electronic filing platforms.
• Excellent organizational and record-management skills.
• Strong attention to detail and accuracy.
