Job Description

We’re looking for a professional and welcoming Receptionist to join our team in Abu Dhabi, United Arab Emirates. As the first point of contact for our organization, you’ll be the friendly face that sets the tone for every visitor and caller. In this role, you’ll manage front desk operations with efficiency, warmth, and attention to detail, ensuring a positive experience for all guests and clients while supporting the broader team with administrative excellence.

• Welcome and greet all visitors, clients, and guests with genuine warmth and professionalism, creating a positive first impression
• Answer, screen, and direct incoming calls with clarity and courtesy, ensuring messages are accurately recorded and promptly delivered
• Manage appointment scheduling and maintain organized calendars for team members, coordinating meetings and room bookings
• Process visitor check-ins and check-outs, maintaining accurate records and ensuring compliance with organizational protocols
• Handle cash transactions, process payments, and maintain accurate records of financial transactions with meticulous attention to detail
• Perform data entry tasks with precision, updating databases and maintaining organized filing systems (both digital and physical)
• Respond promptly to client inquiries and requests, demonstrating flexibility and problem-solving skills to address diverse needs
• Provide information about company services, facilities, and local recommendations to enhance the visitor experience
• Collaborate with team members across departments, communicating important feedback, requests, and concerns to ensure seamless operations
• Maintain confidentiality and discretion regarding sensitive company and client information at all times
• Monitor and maintain the reception area, ensuring it remains clean, organized, and welcoming
• Assist with administrative tasks including mail distribution, document preparation, and general office support as needed

Qualifications

• Proven experience in a receptionist, front desk, or customer-facing role in a professional environment
• Exceptional attention to detail with strong organizational and time management skills
• Excellent verbal and written communication abilities with professional phone etiquette
• Proficiency with computer systems, MS Office applications, and reception/PMS software (experience with Protel or similar systems is a plus)
• Demonstrated ability to multitask and prioritize effectively in a fast-paced environment
• Strong interpersonal skills with a friendly, empathetic, and collaborative approach
• Ability to remain calm, composed, and professional when handling multiple requests simultaneously
• Reliable cash handling experience and accuracy with financial transactions
• Professional appearance and presentation standards
• Commitment to maintaining confidentiality and discretion in all matters
• Flexibility and adaptability to changing priorities and organizational needs
• Multilingual abilities (Arabic, English, and additional languages preferred, particularly relevant to the Abu Dhabi market)
• Familiarity with UAE business culture and local market knowledge (preferred)
• High school diploma or equivalent; additional administrative certification is a plus
• Willingness to support team members and contribute to a collaborative, inclusive workplace culture
