Experience:
Minimum 2 years of experience in document control, contracts administration, or legal support roles.
Job Responsibilities:
Organize, track, and maintain contracts, subcontracts, amendments, agreements, and legal documents in a systematic manner.
Ensure proper document filing, archiving, and retrieval for both soft copies and hard copies.
Maintain effective version control, ensuring only the latest approved documents are in circulation.
Support the Contracts and Legal team with document preparation, formatting, and coordination activities.
Track document approvals, signatures, renewals, and expiry dates, ensuring timely follow-up and updates.
Maintain and update contract registers, logs, and basic status reports for management review.
Coordinate with internal departments to collect required documents, approvals, and supporting information.
Liaise with external parties, including clients, vendors, and consultants, to obtain and exchange documentation.
Ensure all documents comply with company policies and legal requirements.
Maintain confidentiality and security of legal, contractual, and commercial documents at all times.
Assist in preparing reports, summaries, and trackers related to contracts and documentation.
Support internal and external audits by providing accurate and complete document records.
Monitor document workflows to ensure timely processing and minimize delays.
Ensure proper naming conventions and indexing for easy document identification.
Assist in the preparation of correspondence, transmittals, and cover letters related to contracts and legal documents.
Maintain accurate records of document revisions and approval history.
Coordinate document handovers and close-out documentation when required.
Provide general administrative support to the Contracts & Legal Department.
Support team members in day-to-day coordination and documentation tasks.
Identify opportunities to improve document management processes for efficiency and accuracy.
