Key Responsibilities

Reception & Front Office Management

• Welcome visitors, clients, and employees with a friendly and professional attitude.
• Manage the reception area to ensure it remains clean, organized, and presentable.
• Answer, screen, and direct incoming telephone calls efficiently.
• Receive and distribute mail, courier deliveries, and official correspondence.
• Maintain visitor records and ensure proper visitor registration procedures.
• Provide accurate information to visitors regarding company departments and services.

HR Administration

• Maintain and update employee records and HR documentation.
• Assist with recruitment activities, including scheduling interviews and coordinating candidate communications.
• Support employee onboarding and orientation processes.
• Prepare employment letters, HR forms, contracts, and official documents.
• Maintain attendance, leave, and employee records accurately.
• Assist in payroll preparation by providing attendance and HR information.
• Support employee engagement activities and internal HR initiatives.

Administrative Support

• Prepare reports, letters, presentations, and business documents.
• Coordinate meetings, appointments, and conference room bookings.
• Maintain office filing systems, both digital and physical.
• Monitor office supplies and coordinate replenishment when required.
• Assist management with administrative projects and routine office tasks.
• Coordinate with different departments to ensure smooth office operations.

Compliance & Communication

• Maintain confidentiality of employee and company information.
• Ensure HR records comply with company policies and UAE regulations.
• Respond professionally to employee and visitor inquiries.
• Coordinate with HR, Finance, and Operations teams regarding administrative matters.
• Perform additional HR and administrative duties assigned by management.

Requirements

• 2–5 years of UAE experience in HR, administration, or reception.
• Excellent verbal and written English communication skills.
• Strong proficiency in Microsoft Office (Excel, Word, Outlook).
• HR or Administration background is preferred.
• Strong organizational and multitasking abilities.
• Professional appearance and customer-focused attitude.
• Excellent interpersonal and problem-solving skills.
• Ability to work independently and maintain confidentiality.
• High attention to detail and accuracy.
