Key Responsibilities

Document Control Management

• Manage and maintain project documents in an organized and systematic manner.
• Receive, register, distribute, and track incoming and outgoing documents.
• Maintain accurate document registers and revision records.
• Ensure documents are properly named, categorized, filed, and archived.
• Monitor document status and ensure the latest approved versions are available.
• Prevent the use of outdated or unauthorized documents.
• Maintain both physical and digital document filing systems.

Construction & Fit-Out Documentation

• Handle construction and interior fit-out documentation according to project requirements.
• Maintain drawings, specifications, material submittals, method statements, inspection documents, and project correspondence.
• Track revisions and ensure updated drawings are circulated to relevant teams.
• Maintain records of approvals, submissions, transmittals, and technical documents.
• Coordinate project documentation between site, design, engineering, procurement, and management teams.
• Support project teams in retrieving required documentation quickly and accurately.

Document Distribution & Coordination

• Distribute approved documents to relevant departments and project personnel.
• Coordinate with engineers, project managers, site supervisors, designers, subcontractors, and consultants.
• Prepare and maintain document transmittals.
• Track submitted documents and follow up on pending approvals.
• Ensure project teams receive the latest information within required timelines.
• Communicate documentation updates clearly to relevant stakeholders.

Data Entry & Reporting

• Maintain accurate document databases and project registers.
• Update document tracking systems regularly.
• Prepare document status reports for project management.
• Monitor outstanding submissions, approvals, and revisions.
• Use Microsoft Excel to maintain registers, trackers, and reports.
• Ensure all entered information is accurate and up to date.

Digital Documentation

• Organize and manage documents in digital formats including PDF files and scanned records.
• Use Microsoft Word and Excel for documentation and reporting.
• Use Outlook for professional email communication and document coordination.
• Use Photoshop when required for basic documentation or project-related file preparation.
• Maintain secure digital folders and ensure proper document backup.
• Follow company procedures for document security and confidentiality.

Requirements

• 2–3 years of experience in document control, preferably in interior fit-out or construction projects.
• Diploma or Bachelor’s Degree in Business Administration, Engineering, Construction Management, or a related field is preferred.
• Good knowledge of MS Office, particularly:

  • PDF documentation and file management
• Good knowledge of construction and fit-out documentation.
